About A Free Bird
A Free Bird is a 501(c)(3) nonprofit organization that provides Arts Education to children affected by cancer through creative programs and services, both in person and online. Our talented Art Educators help children explore their creative side through a range of mediums, such as art, music, acting, writing, and singing. They are encouraged to find an art form that appeals to them, then receive tuition, materials, and guidance. Creativity gives children the inspiration to fight their disease, provides a vital outlet for self-expression, and brings profound physical and mental health benefits.
About the Programs Department
The Programs Department consists of three core initiatives: Dream Big, Take Flight, and Fly Free. Each program supports children and families affected by cancer through creative opportunities, educational support, events, mentorship, partnerships, and community engagement.
We are seeking highly organized, compassionate, and proactive Programs Coordinators to support one or more of these initiatives. Candidates may be assigned to the program that best aligns with their background, communication style, organizational strengths, and professional experience.
Role Overview
Programs Coordinators will assist with outreach, communication, relationship management, scheduling, volunteer coordination, research, reporting, documentation, and administrative support across the Programs Department. Coordinators act as a liaison between A Free Bird, hospitals, schools, families, corporate partners, volunteers, and community organizations.
This role requires professionalism, strong communication skills, organization, emotional intelligence, and the ability to manage multiple responsibilities in a fast-paced nonprofit environment.
Program Areas & Responsibilities
Dream Big Program
The Dream Big program focuses on creating memorable experiences and opportunities for children and families through outreach, partnerships, events, and direct communication.
Responsibilities
- Assist with newsletters and outreach communications
- Send emails to hospitals, clients, families, and partners
- Coordinate and participate in occasional in-person visits with families
- Maintain direct and professional communication with the President and leadership team
- Support outreach initiatives with a social media and community engagement mindset
- Reach out to companies and organizations regarding ticket donations and opportunities for children
- Communicate with parents regarding events, tickets, and experiences
- Maintain proper documentation and tracking systems
- Coordinate family event attendance and ticket distribution
Take Flight Program
The Take Flight program supports children battling cancer through educational resources, tutoring partnerships, mentorship, and community support.
Responsibilities
- Oversee and support the Take Flight program operations
- Assist with training and onboarding new volunteers within the program
- Manage communication with parents, partners, tutors, and hospitals
- Coordinate effectively between A Free Bird partners and participant families
- Reach out to children and families through multiple communication channels
- Establish and maintain partnerships with hospitals and volunteer tutors
- Research and coordinate free events and opportunities for children and families
- Maintain and update volunteer tutor and hospital databases
- Stay informed about partner policies and procedures affecting participants
- Provide weekly and monthly reports to leadership
Fly Free Program
The Fly Free program focuses on confidence-building experiences, fashion-related opportunities, donations, and creative partnerships for children and families.
Responsibilities
- Assist with training and onboarding volunteers within the Fly Free program
- Send emails and make calls regarding clothing and food donations
- Send thank-you emails to organizations, donors, and partners following events
- Research and maintain relationships with photographers, studios, modeling agencies, fashion show directors, and related organizations
- Coordinate outreach regarding in-kind donations and partnership opportunities
- Compile opportunities and communicate directly with parents and families
- Maintain and update Fly Free databases and documentation
- Provide weekly and monthly reports to leadership
General Responsibilities
- Assist the Programs Director with administrative and operational tasks
- Create and manage spreadsheets, templates, documents, and tracking systems
- Schedule calendar appointments, meetings, and program-related events
- Maintain organized records and department files
- Collaborate with volunteers, interns, and department leadership
- Participate in virtual meetings and occasional in-person activities when needed
Required Qualifications
- 1–2+ years of experience in program coordination, nonprofit operations, communications, outreach, volunteer management, education, healthcare support services, event coordination, or related fields
- Strong written and verbal communication skills
- Excellent organizational and multitasking abilities
- Professional, compassionate, and detail-oriented approach to communication and coordination
- Comfortable communicating with families, hospitals, schools, and external organizations
- Ability to work independently and collaboratively in a remote environment
- Comfortable using Google Workspace, Microsoft Office, spreadsheets, calendars, and communication platforms
- Ability to manage multiple responsibilities and maintain professionalism in fast-paced environments
Preferred Qualifications
- Experience working with nonprofits, hospitals, schools, arts organizations, or youth-focused programs
- Experience with outreach, partnership development, or community engagement
- Familiarity with volunteer coordination and training
- Social media, communications, or event coordination experience is a plus
