    Student assessment coordinator

    Position Title: Assessment Coordinator

    Position Summary:

    The Assessment Coordinator oversees student assessments to meet DESE requirements and maintain program eligibility for state funding. This role involves coordinating assessments for English language proficiency and literacy, organizing scheduling logistics, and managing assessment data. The position requires working closely with the Executive Director, assessors, tutors, and students to ensure smooth testing sessions and accurate reporting.

    Key Responsibilities:

    1. Assessment Administration & Coordination
    • Identify eligibility for intake assessments, annual assessments in April - June, and pre-tests in July for all qualifying students to align with DESE standards.
    • Ensure no assessments are conducted in March or April to avoid duplication with May/June sessions.
    • Monitor hours of instruction per student to confirm eligibility for annual assessments (12+ tutoring hours with no 30-day gap).

    Assessments:

    • Conduct and/or oversee three key assessments:
    • **BestPlus 2.0** (Conversational English assessment for non-native speakers): Administered in-person or remotely via laptop; assessors input responses, and scores are generated in real-time.
    • **TABE Level L** (Early reading skills for students with limited education): Conducted in-person on paper.
    • **MAPT** (Reading assessment for advanced students): Administered in-person or remotely on a computer; requires proctoring to ensure student integrity.

    Scheduling & Coordination with Assessors

    • Beginning in March, identify students due for assessments and determine the assessment type and timing based on availability and proficiency level.
    • Create a scheduling chart that matches students’ availability with assessor’s availability.
    • Notify tutors of assessment dates and coordinate with assessors to confirm assessment locations and Zoom links for remote assessments.
    • Communicate MAPT ID for MAPT students to student and assessor.

    Reporting

    • Record assessment results in student files and the organization’s internal systems.
    • Communicate new assessment results to the Executive Director by the 5

    th of every month.

    Data Management & Equipment Oversight

    • Monitor test licenses of the BestPlus 2.0 program to ensure sufficient assessment access.
    • Organize and manage assessment laptops, software, and testing materials.
    • Confirm that all BestPlus laptops are updated, synced, and that the appropriate records are regularly backed up.

    Communication with Stakeholders

    • Contact students directly to schedule assessments, confirm assessment times with assessors, and notify tutors to support student attendance.
    • Send reminders to students and assessors before scheduled assessments.

    Required Qualifications:*

    • Strong organizational skills for managing scheduling, student data, and assessments across multiple sites.
    • Excellent communication skills for coordinating with tutors, assessors, and students.
    • Availability for periodic weekend or evening hours to support student schedules.
    • Proficiency with computer-based testing platforms, Zoom, and remote proctoring.
    • Sensitivity to adult learners

    Preferred Qualifications:**

    • Familiarity with adult education or ESOL programs.
    • Certification in BestPlus 2.0 (or willingness to obtain this certification, which must be renewed annually).
    • Certification in MAPT and/ or TABE or willingness to obtain these certifications.
    • Experience with standardized testing or assessments.

    Working Hours:**

    Part-time, with peak times in April-June for scheduling and data coordination
