    Reports To: Finance Manager / Director of Finance

    Position Overview

    The Finance Operations Specialist (Accounting & Donor Tracking) is responsible for supporting the organization’s day-to-day financial operations, including transaction tracking, basic accounting support, and donor contribution management.

    This role ensures financial records are accurate, organized, and aligned with organizational reporting needs, while also maintaining visibility into donations and funding sources.

    Operating at the intersection of finance operations, accounting support, and donor tracking, this role is critical to maintaining financial integrity and supporting transparency across the organization.

    Key Responsibilities

    1. Financial Transaction Tracking
      • Record and track financial transactions
      • Maintain organized and up-to-date financial records
      • Ensure proper categorization of expenses and income
    1. Basic Accounting Support
      • Assist with:
      • Expense tracking
      • Payment documentation
      • Financial record maintenance
      • Support reconciliation efforts as needed
    1. Donor Contribution Tracking
      • Track and maintain records of:
      • Donations
      • Funding sources
      • Ensure accurate linkage between contributions and donors
      • Support visibility into funding streams
    1. Financial Data Organization
      • Maintain structured financial data systems
      • Ensure consistency across financial records
      • Support clean and usable datasets
    1. Reporting Support
      • Assist in preparing:
      • Financial summaries
      • Donation reports
      • Basic financial reports
      • Ensure accuracy and clarity in reporting
    1. Data Accuracy & Validation
      • Review financial data for errors or inconsistencies
      • Perform validation checks
      • Ensure reliability of financial information
    1. Cross-Functional Collaboration
      • Work with:
      • Development/Fundraising (donor tracking)
      • Operations (expense tracking)
      • Finance leadership
      • Ensure alignment between financial data and organizational needs
    1. Documentation & Recordkeeping
      • Maintain documentation for:
      • Financial transactions
      • Donor records
      • Reporting processes
      • Ensure proper organization and accessibility
    1. Process Support & Improvement
      • Identify inefficiencies in financial processes
      • Support improvements in tracking and reporting workflows
      • Contribute to standardization
    1. Compliance & Consistency
      • Support adherence to financial tracking standards
      • Ensure records align with organizational and reporting expectations
    1. Continuous Improvement
      • Improve accuracy and efficiency of financial operations
      • Strengthen tracking systems over time
      • Enhance visibility into financial activity

    Volunteer Commitment Expectations

      • Estimated Commitment: 10–15 hours per week
      • Flexible schedule
      • Participation in finance coordination meetings as needed
      • Fully remote

    Minimum Qualifications

      • 1–3 years of experience in:
      • Accounting support
      • Finance operations
      • Bookkeeping or financial tracking
      • Strong attention to detail and organization skills
      • Experience working with financial data

    Preferred Qualifications

      • Experience with:
      • Google Sheets / Excel
      • Financial tracking tools
      • Experience in nonprofit or donor-based environments
      • Experience in remote teams
