The KeelWorks Foundation is a 501(c)(3) approved nonprofit foundation dedicated to support a better world by fostering learning competence, emotional intelligence, and networked intelligence, with a particular focus on empowering the economically disadvantaged. We aim to promote global economic equality through individual empowerment and inclusion, ultimately creating a more peaceful and equitable world.
We specifically aim to bring greater participation to the economically disadvantaged across the globe and in building a system to support upward mobility. We operate on the belief that unrealized human potential is a loss for everyone, that circumstances don't define individuals, that the hunger for learning is universal, and that every learner has unique gifts. Our programs include KeelWings, which provides practical experience for recent graduates, and KeelMate, which supports the experienced professionals.
Position Overview
The HR Operations Specialist manages the end-to-end onboarding process for new volunteers and staff, ensuring all necessary systems and processes are set up efficiently to enable their success at KeelWorks. This role also requires to manage the complete offboarding process, ensuring smooth transitions for inactive volunteers or staff while maintaining systems integrity and clear communication.
Key Responsibilities
- Develop and oversee the onboarding workflow, ensuring a seamless process from recruitment to integration.
- Manage system set-ups, including creating user accounts, email addresses, and access to required tools or platforms.
- Ensure compliance with organizational policies and collect necessary documentation from new joiners.
- Liaise with cross-functional teams to provide a smooth transition for new volunteers and staff.
- Continuously improve onboarding practices based on feedback from new joiners and organizational stakeholders.
- Proactively identify and reach out to inactive volunteers or staff based on defined criteria to confirm their offboarding needs.
- Coordinate the end-to-end offboarding process, including updating systems, revoking access, and finalizing any required documentation.
- Ensure clear and empathetic communication during the offboarding process to leave a positive impression of KeelWorks.
- Maintain accurate records of offboarding activities in the HR or volunteer management systems.
- Collaborate with team leads and project managers to ensure proper handover of responsibilities, if applicable.
Skills & Qualifications
- Strong problem-solving skills and the ability to multitask effectively.
- Ideally, proficiency with HR systems and tools for onboarding and system setups.
- Strong organizational skills with attention to detail and ability to manage sensitive data.
- Excellent communication and interpersonal skills to ensure smooth transitions.
