About Youth Crime Watch of Liberia

Youth Crime Watch of Liberia (YCWL) is a women-led, youth-focused national non-governmental organization established in 2004. YCWL works to empower young people, prevent crime, promote child protection, advance gender equality, strengthen education, and expand opportunities for vulnerable and marginalized communities across Liberia.

Through its programs and partnerships, YCWL supports youth development, girls’ empowerment, violence prevention, safeguarding, education, vocational skills development, civic engagement, community leadership, women’s economic empowerment, and sustainable livelihoods. YCWL works with development partners, government institutions, schools, community structures, youth groups, women’s organizations, and other stakeholders. Position Overview

YCWL seeks a dependable, organized, proactive, and service-oriented volunteer to support the day-to-day coordination and implementation of its programs and projects. The Program Assistant will help project teams organize activities, maintain records, communicate with field officers and stakeholders, prepare routine documentation, track workplans, and support monitoring and reporting.

This is an unpaid volunteer role designed to strengthen program delivery while providing the volunteer with practical experience in NGO program coordination, project administration, community engagement, safeguarding, and development work. The volunteer will work under supervision and will not independently approve budgets, make commitments on behalf of YCWL, or submit external reports without authorization.

    Key Responsibilities

    Program Planning and Implementation Support

    • Assist program and project staff with preparing activity schedules, workplans, checklists, attendance sheets, and implementation trackers.
    • Help coordinate meetings, trainings, workshops, community dialogues, school-based activities, and other approved project events.
    • Follow up with relevant staff and field officers to obtain updates on activity progress, upcoming tasks, logistical needs, and implementation challenges.
    • Support the preparation and organization of activity materials, participant lists, venue arrangements, and other approved logistics.
    • Track assigned activities against approved workplans, timelines, deliverables, and indicators, and promptly flag delays or implementation gaps to the supervisor.
    • Assist with routine communication between the program team, field officers, schools, community groups, and other stakeholders, as directed.
    • Support coordination across YCWL programs, including activities relating to youth empowerment, girls’ education, gender equality, child protection, violence prevention, skills development, and economic empowerment.

    Documentation, Reporting, and Record Management

    • Prepare draft activity reports, meeting minutes, field updates, briefing notes, and follow-up action lists for review by the supervisor.
    • Maintain organized electronic and physical files for approved workplans, attendance records, training materials, activity reports, photographs, and related project documents.
    • Assist in collecting and compiling routine activity data and supporting evidence in accordance with approved monitoring tools and reporting requirements.
    • Maintain trackers for activities, deliverables, meetings, action points, and reporting deadlines as assigned.
    • Check that submitted records are complete, legible, consistent, and properly filed, and follow up on missing information with the responsible staff.
    • Support the preparation of presentations, summaries, success stories, and other communication materials using verified information and approved consent.

Grant Writing and Resource Mobilization Support

    • Research and track grant and funding opportunities that align with YCWL’s mission, programs, and strategic priorities, including donor eligibility criteria and submission deadlines.
    • Assist in drafting and reviewing grant applications, concept notes, expressions of interest, project proposals, and other resource-mobilization documents under the guidance of the Program Support and Partnership Advisor.
    • Support the collection of project information, evidence, organizational documents, activity plans, and other inputs required for grant submissions.
    • Help maintain a funding opportunity and proposal tracker, including deadlines, submission status, follow-up actions, and outcomes.
    • Coordinate with relevant program and finance colleagues to gather inputs for proposal narratives, activity plans, and budget information; all submissions must be reviewed and authorized by YCWL management.

    Field and Community Coordination

    • Participate in authorized field visits to schools and communities and assist with documenting progress, participant feedback, and operational challenges.
    • Support coordination with Girls’ and Boys’ Clubs, School Health Clubs, youth groups, women’s organizations, community structures, and local stakeholders, as assigned.
    • Help ensure that activity attendance, participant feedback, and other records are collected and handled responsibly.
    • Communicate field observations and urgent operational concerns to the supervisor in a timely manner.
    • Support inclusive participation by being respectful of children, young people, women, persons with disabilities, and other groups experiencing vulnerability or marginalization.

    Project-Specific Support

Under the direction of the relevant project team, the Program Assistant may support:

    • Liberia Spotlight Initiative 2.0: documentation and coordination of activities promoting gender-equitable social norms, women’s and girls’ empowerment, skills development, financial literacy, livelihoods, and prevention of violence against women and girls.
    • PEACE Project: coordination and documentation of school and community activities relating to girls’ and young people’s education, health, protection, youth participation, Girls’ and Boys’ Clubs, School Health Clubs, peer support, life skills, and economic opportunities.
    • Other YCWL programs: administrative and implementation support for approved activities aligned with youth development, child protection, education, gender equality, civic engagement, and community development.

    Administrative and Team Support

    • Assist with scheduling internal meetings, preparing agendas, recording decisions, and following up on assigned action points.
    • Support the preparation and circulation of routine internal communications and documents, subject to supervisor guidance.
    • Help maintain shared calendars, task lists, and project folders using approved digital tools.
    • Work collaboratively with program staff, the Finance and Administration team, field officers, and other colleagues to support timely delivery of activities.

    Safeguarding, Confidentiality, and Professional Conduct

    • Comply with YCWL’s safeguarding, child protection, prevention of sexual exploitation and abuse (PSEA), code of conduct, confidentiality, and data-protection requirements.
    • Treat children, young people, survivors of violence, and all community members with dignity, respect, and sensitivity.
    • Never share identifiable beneficiary information, case details, photographs, or sensitive project records without appropriate consent and authorization.
    • Report safeguarding concerns, suspected misconduct, or risks through the designated YCWL reporting channels promptly; do not investigate concerns independently.
    • Obtain supervisor approval before making external commitments, representing YCWL at formal engagements, or sharing organizational or project information externally.

    Required Qualifications and Experience

    Education

    • A diploma, ongoing university education, or relevant training in Development Studies, Social Sciences, Education, Public Administration, Project Management, Gender Studies, or other fields.
    • Relevant coursework or training in project coordination, administration, monitoring and evaluation, child protection, gender equality, or community development is an advantage.

    Experience

    • Some experience, academic exposure, internship experience, or demonstrated interest in program support, administration, community work, volunteering, or project implementation.
    • Experience preparing documents, organizing meetings or events, maintaining records, or working with community groups is an advantage.
    • Familiarity with NGO or donor-funded projects is desirable but not essential.

    Required Skills and Competencies

    • Strong organization, time management, attention to detail, and ability to follow instructions.
    • Good written and verbal communication skills in English.
    • Basic proficiency in Microsoft Word, Excel, email, online meeting platforms, and shared document tools.
    • Ability to maintain accurate records, prepare clear notes, and handle information confidentially.
