    Event Producer (Staff or Senior Volunteer)

    Organization: Mentor A Promise (MAP)

    Division: Events, Community Engagement & Storytelling

    Location: New York City (primary) + Remote coordination via Google Meet

    Type: Staff (Part-Time) or Senior Volunteer (Unpaid)

    About Mentor A Promise

    Mentor A Promise (MAP) is a New York City–based nonprofit dedicated to supporting children and youth ages 5–18 experiencing housing instability. Through mentorship, literacy development, social-emotional learning, creative expression, and community-based programming, MAP creates safe, consistent, and empowering spaces where young people are seen, respected, and valued.

    MAP events—from readings and performances to community gatherings and youth showcases—are extensions of our mission. They bring people together through joy, creativity, and shared purpose.

    Purpose of the Role

    The Event Producer owns the vision, planning, and execution of MAP events. This role serves as the central organizer—shaping the event concept, managing timelines, coordinating partners, and leading volunteer teams to ensure events are welcoming, well-run, and mission-aligned.

    This is a leadership role suited for someone who can balance creativity with logistics and people-centered coordination.

    Core Responsibilities (Event Producer)

    • Own the overall event vision, goals, and run-of-show
    • Develop and manage event timelines, planning calendars, and execution plans
    • Coordinate internal teams, volunteers, performers, and partners
    • Serve as primary point of contact for venues and collaborators
    • Ensure events align with MAP values, youth safety standards, and accessibility needs
    • Oversee event-day operations and troubleshoot in real time
    • Conduct post-event debriefs and documentation

    Event Team Structure (Managed by Event Producer)

    Partnerships & Sponsorship Lead (Volunteer or Assigned Role)

    May be filled by the Event Producer or delegated

    • Secure venue partnerships and community spaces
    • Build relationships with local businesses and organizations
    • Coordinate in-kind donations (food, materials, equipment, printing)
    • Maintain clear records of partnerships and contributions

    Marketing & Outreach Volunteers (2–3 Volunteers)

    • Design and distribute flyers and simple promotional materials
    • Post event announcements in community groups and local channels
    • Support on-the-ground promotion and outreach
    • Coordinate messaging with MAP communications standards

    Event Day Crew (6–10 Volunteers)

    • Support event setup and breakdown
    • Manage guest flow and welcoming
    • Assist performers, speakers, and facilitators
    • Ensure smooth transitions during the event

    Merch & Info Table Volunteer

    • Manage MAP materials, sign-up sheets, and informational displays
    • Share MAP’s mission clearly and warmly with attendees
    • Support volunteer interest sign-ups and community engagement

    Qualifications (Event Producer)

    • Experience in event planning, production, community organizing, or project management
    • Strong organizational, communication, and leadership skills
    • Comfort coordinating multiple people and moving parts
    • Ability to stay calm, flexible, and solutions-oriented
    • Sensitivity to youth-centered, trauma-informed, and community-based work
    • Commitment to ethical, inclusive, and mission-driven events

    Commitment

    • 5–10 hours per week, with increased hours leading up to events
    • Minimum 6-month commitment preferred
    • NYC-based events with remote planning coordination
