    # Grant Acquisition Associate (Volunteer)

    Department: Fundraising / Grant Acquisition

Reports To: Grant Acquisition Team Lead

    Location: Remote

    Commitment: 15–20 hours per week

    Position Summary

The Grant Acquisition Associate gives day-to-day support to the Grant Acquisition Team Lead and helps the team run smoothly. This role handles the organizational, research, and documentation work behind every successful proposal: keeping deadlines on track, materials current, and information easy to find. Associates work across the whole grant cycle, from early prospect research to post-award reporting. It is a strong starting point for volunteers building a career in nonprofit fundraising.

    Responsibilities

Team Lead Support: Help the Team Lead with scheduling, meeting coordination, agendas, meeting notes, and follow-up on action items across the Grant Acquisition team.

Research Assistance: Run preliminary research on funders, eligibility requirements, and funding priorities. Summarize findings for the Team Lead and Grant Acquisition Specialists.

Deadline & Pipeline Tracking: Keep the grant calendar and CRM/Salesforce records current, including application stages, due dates, reporting deadlines, and funder contacts. Send reminders ahead of key dates.

Document Management: Organize and maintain the team's shared grant library, including boilerplate language, organizational documents, letters of support, budgets, and past proposals, so materials are current and easy to find.

Proposal Preparation Support: Proofread and format draft proposals, check them against funder guidelines, gather required attachments, and complete pre-submission checklists

Evidence & Compliance Support: Help collect metrics, outcome data, and supporting evidence from Program Management, Data Services, and other teams for proposals, Letters of Intent, and compliance reporting.

Grant Stewardship Assistance: Help prepare progress reports, impact updates, and thank-you materials for current funders.

    Required Skills & Competencies

    • Strong organizational skills and close attention to detail, especially with deadlines, file management, and funder guidelines.
    • Clear written communication, with the ability to proofread, summarize, and take accurate notes.
    • Reliability and follow-through in a remote, deadline-driven team environment.
    • Willingness to learn grant processes and take direction while also working independently.
    • Proficiency with digital workspace tools (Google Workspace, Slack, Microsoft Office, CRM systems like Salesforce).

    Preferred Experience

    • Administrative, project coordination, or research experience.
    • Exposure to nonprofit fundraising, grant writing, or grant management.
    • Familiarity with Salesforce, grant databases, or shared document libraries.
    • Interest in education, workforce development, or community empowerment.

    Additional Notes

    Professional Development & Recognition:

Onboarding & Training Certificate (with or without Budget designation): Awarded after completing the Keel Works onboarding and initial training program. Associates who also complete the Grant Acquisitions Budget Training series receive the Budget designation.

Grant Acquisition Professional Certificate: Awarded in recognition of ongoing mentorship, commitment to professional growth, and active contributions to grant operations, pipeline management, and stewardship.

Associates who show strong performance may be considered for advancement to Grant Acquisition Specialist or Budget Grant Writer roles.

This volunteer position offers hands-on experience in nonprofit fundraising operations, grant management, and cross-functional teamwork in a collaborative, growth-oriented environment.
