    Position Summary

    The Volunteer Program Manager is responsible for coordinating and executing HPG’s volunteer engagement activities and lifecycle participation practices in alignment with workforce governance standards established by the Chief Human Resources Officer (CHRO).

    This role focuses on ensuring volunteers are effectively onboarded, supported, supervised, and engaged in meaningful mission-aligned work while maintaining appropriate documentation and compliance execution. The Volunteer Program Manager plays a key role in fostering a positive volunteer experience and strengthening volunteer retention across programs and sponsored projects.

    This position is operational and relationship-focused, supporting the day-to-day coordination of volunteer activities while partnering with HR Operations, Learning & Development, and program leadership to ensure consistent volunteer participation practices across the organization.

    Key Responsibilities

    Volunteer Lifecycle Coordination

    • Coordinate volunteer intake activities including interest tracking, screening logistics, and placement coordination
    • Ensure volunteers receive clear role expectations and introductions to assigned supervisors
    • Facilitate structured onboarding and orientation participation
    • Maintain regular volunteer engagement touchpoints and participation follow-ups
    • Coordinate volunteer transition and offboarding steps in alignment with established HR procedures

    Compliance Execution & Documentation Support

    • Ensure required volunteer agreements, waivers, and acknowledgment forms are completed
    • Maintain organized volunteer files in accordance with documentation guidelines established by HR Operations
    • Monitor adherence to volunteer participation standards and escalation protocols
    • Coordinate background check processes where applicable
    • Support preparation for compliance reviews by ensuring volunteer documentation completeness

    Volunteer Engagement & Retention

    • Support implementation of volunteer recognition and appreciation initiatives
    • Encourage ongoing volunteer participation through regular communication and relationship-building
    • Identify early signs of disengagement and escalate concerns appropriately
    • Partner with Learning & Development to coordinate volunteer participation in training opportunities
    • Help reinforce organizational culture and mission alignment among volunteers

    Program Coordination & Stakeholder Support

    • Liaise with program leaders to coordinate volunteer assignments and scheduling needs
    • Help ensure volunteers are deployed effectively across initiatives and sponsored projects
    • Communicate volunteer availability updates and participation issues to HR leadership
    • Support cross-functional collaboration to ensure volunteers feel integrated into the broader workforce community

    Qualifications

    Required

    • Experience coordinating volunteers, community programs, or workforce participation initiatives
    • Strong interpersonal and relationship-management skills
    • Organized approach to documentation tracking and task coordination
    • Ability to follow established compliance and operational procedures
    • Comfort working within remote or distributed teams

    Preferred

    • Exposure to nonprofit program environments
    • Experience supporting volunteer engagement or retention initiatives
    • Familiarity with mission-driven organizational cultures

    Time Commitment

    • Approximately 6–8 hours per week
    • Flexible scheduling; occasional availability for program or HR coordination meetings
