Position Overview
The Diabetes Foundation is seeking a highly organized, detail-oriented, dependable, trustworthy Data Assistant to support the organization's data management, reporting, and administrative operations. This individual will play a critical role in maintaining accurate participant records, supporting program reporting, ensuring data integrity, managing data systems, and assisting staff with data-related projects.
The ideal candidate is self-motivated, efficient, a strong problem solver, and comfortable working independently while meeting deadlines. Strong Microsoft Excel skills are essential.
Primary Responsibilities
- Enter, update, and maintain participant and program data in multiple databases.
- Create and maintain spreadsheets, reports, and tracking systems using Microsoft Excel.
- Generate routine reports for program staff, management, and funders.
- Assist with data collection for grants, contracts, and outcome reporting.
- Review records for inconsistencies and resolve data discrepancies.
- Organize and maintain electronic files and documentation.
- Support data quality assurance and continuous improvement efforts.
- Assist with importing and exporting data between systems.
- Help prepare information for audits, program evaluations, and organizational reporting.
- Answer incoming phone calls in a professional, friendly, and compassionate manner.
- Direct callers to the appropriate staff member or program and accurately relay messages.
- Maintain strict confidentiality of participant information in accordance with organizational policies.
- Handle additional responsibilities as assigned to support organizational needs.
- Send out and collect impact surveys.
Qualifications
- Advanced proficiency in Microsoft Excel.
- Strong attention to detail with a high degree of accuracy.
- Excellent organizational and time-management skills.
- Ability to prioritize multiple assignments and meet deadlines.
- Comfortable learning new databases and software applications.
- Exceptional verbal communication and customer service skills.
- Professional, friendly, and confident telephone etiquette.
- Ability to work independently with minimal supervision.
- Previous nonprofit, healthcare, or human services experience is preferred.
- Spanish language proficiency is a strong plus.
