    About the Role

    We’re seeking a highly organized, detail-obsessed Grants Coordinator to support our fund development and grants management processes. This role is perfect for someone who thrives on precision, enjoys mastering systems, and treats “follow the instructions exactly” as a personal creed.

    You will work closely with our Director of Accounts & Administration and Fund Development Team to ensure deadlines are met, proposals are submission-ready, and data is meticulously maintained. We plan and manage timelines carefully so the work stays focused and on-track—not a stress-fueled, chaotic scramble—while still relying on a culture of responsiveness to keep projects moving smoothly in a remote environment. This means having the flexibility to stay reasonably engaged during business hours, so quick questions get answered and no one is left waiting for the next step.

    In this role, attention to detail and timely communication are just as important as technical skills, because the work is *mission-critical* and directly impacts our ability to secure transformative funding for our clients.

    Key Responsibilities

    • Manage administrative steps of the grants process from opportunity review through submission.
    • Enter new projects into our project management system (Hive) and ensure all steps follow Standard Operating Procedures (SOPs).
    • Review funder guidelines, RFPs, and portals to prepare for proposal development.
    • Navigate a wide range of public and private funder portals, including complex government systems that may require prequalification steps, and back-and-forth communication.
    • Create detailed proposal outlines and templates in Google Docs for writers, ensuring accurate format, attachments, and requirements.
    • Package proposal materials to meet funder specifications, ensuring compliance with RFP instructions and a polished, professional presentation.
    • Upload proposals and reports to funder portals with absolute accuracy.
    • Maintain up-to-date grant data in internal systems.
    • File documents in our Google Drive using LSC’s naming and folder protocols.
    • Securely store client credentials in our protected IT system.
    • Monitor and respond to client and funder emails professionally and promptly.
    • Take clear, actionable minutes for weekly team meetings.
    • Provide day-of support for grant submission deadlines.

    What We’re Looking For

    • 3-5 years administrative support experience (nonprofit or grant-related experience preferred).
    • Exceptional attention to detail—you catch errors others miss.
    • Strong organizational and time management skills; able to juggle multiple projects without losing track.
    • Skilled in Microsoft Office, Google Workspace, and project management tools.
    • Excellent written and verbal communication skills.
    • Customer service mindset with respectful, tactful communication.
    • Integrity, discretion, and reliability.
