    We are seeking a skilled, highly motivated, and solutions-oriented Operations Assistant to join our team. Ideal candidates will have at least two years of experience in a professional setting. The successful candidate will be both a proactive self-starter and collaborative colleague who thrives in a small and dynamic office. They will report to the Director of Impact Operations and work closely with other members of the Impact Operations team.

    Responsibilities:

    The Operations Assistant manages daily office operations, supports team well-being, and leads logistics for events and projects.

    Office & Operations Management

    • Provide a welcoming presence as staff and guests enter and exit the office.
    • Keep the office and kitchen stocked and handle all mail, shipments, and equipment maintenance and repair.
    • Serve as the primary point of contact for office vendor relationships.
    • Manage office safety and security, coordinating with building management.
    • Manage leadership calendars, scheduling meetings and managing communications with external participants.
    • Partner with the Operations Manager to set the annual calendar of recurring meetings, soliciting input from the team on timing, cadence, and purpose.
    • Ensure team technology runs smoothly, providing onboarding and refresher support as needed.
    • Develop fluency in our AI tools and support the team in integrating them into daily workflows.
    • Participate in team cross-training to ensure seamless workflow and coverage when colleagues are out of the office.

    • Coordinate and execute engaging social events.
    • Support the activities of the Welcome and Belonging Committee.
    • Coordinate and promote wellness offerings, tracking usage, and soliciting feedback.
    • Foster a positive and balanced workplace environment through well-timed programming and small touches that support team energy throughout the year.
    • Support awareness and utilization of employee benefits, including piloting new offerings.

    Project and Event Coordination

    • Coordinate scheduling, logistics, food, and material preparation for large group meetings, retreats, and events.
    • Provide support for partner convenings and events.
    • Coordinate the processing of contracts, invoices, nondisclosure agreements, and conflict of interest forms.
    • Capture key contacts and information in the knowledge management system.
    • Collect and package staff updates to keep the team informed.
    • Submit expense reports and review staff credit card expenses, ensuring consistent coding.

    Skills and Qualities:

    • At least two years of experience in a professional setting
    • Strong organizational and time-management skills
    • Sound judgment and creative problem-solving abilities
    • High attention to detail
    • Ability to manage multiple stakeholders and competing priorities
    • Exceptional written and verbal communication skills
    • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and SharePoint
    • Event planning experience preferred
    • Ability to stand or sit for extended periods and occasionally lift up to 25 pounds

    Compensación

    Beacon Fund offers a hybrid work model and candidates must be present in Denver during normal business hours three days each week. We provide a comprehensive benefits package, including medical, dental, and vision insurance, a 401(k) retirement plan, and generous paid time off.
