Position Description for Parish Administrator St. Paul's Episcopal Church, Brookline, MA Hours: 25 hours per week | Start Date: May 1, 2026
Position Summary

We are looking for a Parish Administrator who wants to be part of that mission, not just support it from a distance. This is a role for someone who finds meaning in making an organization run well — who understands that well-managed communications, a well-kept calendar, and a well-maintained building are all forms of ministry. The Administrator works closely with the Rector to manage day-to-day parish operations, including office administration, facilities coordination, and information management, and plays a key role in how parishioners, visitors, and community partners experience St. Paul's.
Key Responsibilities
Administrative Operations
- Serve as a welcoming and professional presence for all who contact or visit the church — often the first face or voice people encounter
- Oversee day-to-day administrative operations, ensuring efficient workflows and timely completion of tasks
- Maintain clear and responsive communication with the parish via email, telephone, and in-person
- Manage and maintain the church calendar, coordinating events, meetings, and building usage
- Produce all worship bulletins and weekly newsletters; distribute newsletters and all parish communications
- Support ministry leaders with promotional materials and outreach
- Ensure all communication reflects the mission, values, and welcoming spirit of St. Paul's
- Provide administrative support to the vestry and other committees as requested
- Maintain office equipment, supplies, and systems, including files on the office computer and cloud storage
- Keep outdoor signage current and reflective of parish life
- Collaborate with the Treasurer and Finance Committee on invoices, contributions, and budget-related tasks
Database Management (Realm)
- Serve as the primary administrator for Realm, the church's contact database, and related applications
- Maintain accurate parish records: membership, diocesan, physical plant, and other operational data
- Train staff and parishioners on Realm as needed, in collaboration with parish leadership
- Generate reports to support ministry and decision-making
Facilities and Space Use
- Coordinate scheduling of church spaces for special services (weddings, funerals, baptisms, and celebrations), parish events, meetings, and community partners
- Serve as the primary liaison for external groups using the facilities
- Oversee annual contracting and scheduling for music concert groups (January–March)
- Work with the Buildings & Grounds Committee on maintenance, safety, and cleanliness
- Assist in planning and coordinating special events and programs
Qualifications
- Strong organizational and time-management skills; able to prioritize and problem-solve across multiple tasks
- Excellent communication and interpersonal skills, with a collaborative and welcoming manner
- Proficiency with Microsoft Office Suite, Google Workspace, and basic graphic design tools (e.g., Canva)
- Experience with database management systems; familiarity with Realm is a significant plus
- Experience in event coordination or facilities management is an asset
- Genuine understanding of and respect for the mission and values of The Episcopal Church
Position Details
- Reports to: Rector
- Hours: Part-time, 25 hours/week (hours may fluctuate around major church seasons: Christmas, Holy Week, and Easter)
- Overtime pay provided per the Employee Handbook
- Compensation: $29/hour
- Retirement: Church Pension Group (401k, 5% base, up to 4% match)
- Health Insurance: Pro-rated premium reimbursement at the 20-hour rate
- Start Date: May 1, 2026
