    Position Summary

    The Operations Manager provides leadership and oversight for Bridge Builder Communities’ administrative, financial, and operational systems, ensuring that day-to-day functions run efficiently and align with the organization’s mission and strategic goals. Reporting to the Executive Director, and working closely with the Chief Program Officer and Program Director, this role supports organizational performance through effective management of finance, human resources, facilities, and vendor relationships.

    The Operations Manager ensures internal systems and processes operate smoothly, supports compliance with policies and regulations, and partners with leadership to strengthen organizational capacity. This role requires a proactive, organized, and solutions-oriented professional who can balance attention to detail with a big-picture understanding of how operational excellence drives mission impact.

    Responsibilities

    Operational Leadership & Administration

    • Oversee day-to-day operations, ensuring the organization’s administrative, financial, and human resources functions run efficiently and effectively.
    • Implement and maintain organizational policies, systems, and procedures that enhance performance, accountability, and communication across departments.
    • Collaborate with the Executive Director and department heads to translate strategic objectives into operational plans and measurable outcomes.
    • Maintain oversight of vendor and contractor relationships, ensuring service quality, timeliness, and cost efficiency.
    • Manage facility operations, equipment maintenance, and procurement to support a safe, functional, and well-maintained work environment.
    • Support leadership in preparing board and committee reports, presentations, and materials related to operations, finance, and HR.

    Financial Management

    • Partner with the outsourced finance team to prepare budgets, monitor expenses, and ensure accurate and timely financial reporting.
    • Oversee adherence to fiscal policies, internal controls, and funding requirements to ensure transparency and accountability.
    • Provide financial updates to the Executive Director and support preparation of reports for the Board of Directors and funders.
    • Assist with audit preparation and annual filings, including the Form 990, Secretary of State renewals, and other regulatory submissions.

    Human Resources & Talent Management

    • Administer HR systems, including recruitment, onboarding, performance management, and employee records.
    • Maintain and update employee handbooks, policies, and benefits documentation to ensure compliance with employment laws and best practices.
    • Support leadership in fostering a positive, inclusive, and mission-driven organizational culture that values learning and collaboration.
    • Serve as a trusted resource for staff questions related to HR policies, benefits, and procedures.

    Development & Marketing Support

    • Coordinate with outsourced development and marketing partners to ensure timely completion of deliverables, data entry, and donor acknowledgments.
    • Support organizational events, communications, and fundraising campaigns by providing administrative and logistical assistance as needed.
    • Maintain accurate records of donor data, grant compliance materials, and marketing assets.

    Compliance, Systems & Reporting

    • Maintain operational compliance with local, state, and federal regulations.
    • Develop and maintain organized recordkeeping systems for operational, HR, and financial documentation.
    • Monitor and report on key operational milestones and metrics, using data to inform leadership decision-making and process improvement.
    • Stay current with best practices and emerging tools in nonprofit operations, HR, and financial management.

    Qualifications

    • Bachelor’s degree in business administration, nonprofit management, finance, or a related field required; Master’s degree preferred.
    • Minimum of 5–7 years of progressive experience in operations, finance, or HR management, preferably in a nonprofit organization.
    • Demonstrated success implementing operational systems, policies, and procedures that improve efficiency and accountability.
    • Familiarity with human resources management, payroll, and benefits administration.
    • Working knowledge of nonprofit finance and budget management; experience with outsourced accounting or financial services a plus.
    • Strong computer proficiency, including Microsoft Office Suite and Google Workspace; experience with CRM or accounting systems preferred.
    • Exceptional organization, communication, and analytical skills, with the ability to balance strategic thinking and tactical execution.
