    For over 30 years, CharityWatch has served as the premier independent watchdog for the nonprofit sector. We analyze nonprofit financial reporting, accountability, and effectiveness, and work with journalists in the U.S. and beyond to investigate and report on nonprofit fraud and financial mismanagement.

    About the Position

    As a primary point of contact for our donors and a key anchor for our daily operations, this role is entrusted with representing CharityWatch professionally while keeping our office running seamlessly. This position is ideal for an experienced administrative professional who takes pride in high-precision work, thrives in a varied role, and wants their day-to-day efforts to directly support a meaningful mission.

    Key Responsibilities

      • Donor Relations: Serve as a primary point of contact; respond professionally and warmly to donor inquiries via phone, email, and written correspondence and prepare detailed donor acknowledgments.
      • Database & Data Entry: Process donations, perform high-precision data entry, and maintain donor database (CRM) accuracy.
      • Operations & Administrative Support: Manage daily office mail, assist with direct mail projects, and provide general operational support to the Executive Director and staff.
      • Team & Project Support: Adapt flexibly to support special projects and fill operational gaps as organizational needs evolve.

    Required Qualifications:

      • Proven Administrative Experience: Track record in detailed data entry, donor databases/CRMs (or relational databases), and office operations.
      • Technical Skills: Proficiency with Google Workspace (Docs, Sheets, Gmail) and Microsoft Office (Word, Excel).
      • Communication & Discretion: Warm, articulate, and professional communication skills with strong discretion regarding sensitive data.
      • High Detail Orientation: Exceptional attention to detail with a knack for catching errors others miss. Checking your own work is essentially to this role.
      • Adaptability, Ownership, and Initiative: Comfortable working in a small team with shifting responsibilities. A willingness to pitch in on tasks outside your core duties, and to see projects & tasks through to completion. After initial training, you’ll take ownership of responsibilities and proactively coordinate based on organizational needs.
      • Experience: Adequate background in one or more of these areas: nonprofit administration, donor services, executive support, office/administrative operations management.

    Timeline
