    CLIENT SERVICES COORDINATOR

    Shine Foundation

    Reports to: Director of Operations & Community Engagement

    Schedule: Full time, M-F, with flexibility for alternating weeks Sun- Thurs; onsite

    Salary: $55,000–$60,000 annually, based on experience

    The Shine Foundation is a Jewish nonprofit organization that serves women and families of every background, faith, and identity. Guided by the belief that every person deserves dignity, compassion, and care, our flagship program provides widows, survivors of domestic violence, and their families with complimentary new clothing, shoes, accessories, and household essentials in a warm, boutique-style showroom. Our work helps women restart their lives after widowhood and other life-altering circumstances through personal attention and an experience centered on dignity and choice.

    POSITION SUMMARY

    The Client Services Coordinator ensures each Shine client receives organized, responsive, and highly personal support. The role manages client and referral inquiries, appointment scheduling, transportation and donation logistics, showroom preparation, service records, and follow-up. It also maintains the inventory, systems, volunteer support, and physical readiness required for client appointments and assists with related programs, events, and communications content.

    This is a hands-on role for someone who enjoys working directly with people while keeping schedules, information, donated goods, and logistics organized behind the scenes.

    KEY RESPONSIBILITIES

    Client Services and Appointment Coordination

      • Respond promptly and professionally to client and referral-partner inquiries.
      • Schedule new and returning clients and manage confirmations, reminders, cancellations, rescheduling, and follow-up.
      • Coordinate client transportation and driver schedules when needed.
      • Maintain accurate client and appointment records, including visit needs, referral sources, transportation, cancellations, items distributed, and follow-up.
      • Prepare the showroom, donated goods, and supporting materials before appointments.
      • Serve as the primary onsite coordinator during client visits, providing a discreet, respectful, and highly personal experience.
      • Protect client privacy and escalate sensitive or complex matters to the Director.

    Showroom, Inventory, and Service Systems

      • Maintain an organized, welcoming, and appropriately stocked showroom by receiving, categorizing, labeling, storing, restocking, and tracking donated goods.
      • Coordinate the pickup, delivery, receiving, and internal movement of approved product donations.
      • Maintain accurate InFlow records, including item category, quantity, size, season, value, and location, and support inventory counts and reconciliations.
      • Record donated goods distributed through client appointments and programs.
      • Maintain organized storage areas and identify inventory shortages, location issues, or facilities concerns that could affect client service.
      • Maintain relevant files, trackers, checklists, and procedures, and help improve recurring service workflows.

    Volunteer, Program, and Event Support

      • Coordinate volunteer onboarding, scheduling, assignments, communications, and records.
      • Train and supervise volunteers during onsite activities and track their hours and completed work.
      • Support client programs and events through participant communications, registration, supplies, volunteer coordination, room preparation, setup, breakdown, and onsite logistics.
      • Ensure activities reflect Shine’s standards for confidentiality, client dignity, presentation, and service, and restore the space afterward.

    Content and File Support

      • Capture and organize approved photographs, videos, templates, program materials, and other digital assets in the appropriate shared files.
      • Draft light-touch social media and newsletter content as assigned, using approved messaging and protecting client confidentiality.
      • Obtain and maintain required photo, video, and testimonial permissions.

    REQUIRED QUALIFICATIONS

      • Bachelor’s degree from an accredited college or university.
      • At least two years of relevant experience involving client service, appointments, scheduling, records, events, retail, hospitality, nonprofit programs, or related coordination.
      • Strong organizational, written, verbal, and interpersonal skills, with the ability to balance multiple priorities and deadlines.
      • Warm, professional, and service-oriented, with sound judgment, discretion, and sensitivity when working with clients.
      • Proficiency with Microsoft Office and comfort learning inventory, scheduling, CRM, file-sharing, and service-management systems.
      • Reliable availability for the Sunday-through-Thursday schedule and occasional evening, Friday, Saturday, or additional weekend responsibilities.
      • Ability to work actively throughout the showroom and storage areas and assist with light event setup and movement of donated goods. Onsite support is available for heavy lifting.
