    Position Summary

    As an integral part of the organization, the Finance and Operations Assistant provides support to the organization and VP of Finance & Operations through a range of administrative and accounting tasks including daily, weekly, monthly, and annual financial processes; human resources; IT oversight; program support; and office administration. This position requires an individual who is comfortable with following and applying established policies, procedures, and compliance requirements.

    ESSENTIAL FUNCTIONS & RESPONSIBILITIES:

    Accounting Processes:

    • Review, verify, and process Accounts Payable invoices.
    • Reconcile vendor statements.
    • Review, verify, and process employee expense reimbursements.
    • Audit and reconcile credit card statements and commercial buyer accounts.
    • Dispute and/or resolve billing errors and erroneous charges including fraudulent credit card charges with vendors or issuing bank.
    • Respond to vendor inquiries.
    • Process and ensure timely delivery of vendor payments.
    • Setup and Maintain vendor and subcontractor accounts and files including W-9’s, Certificates of Insurance, and verification of licenses.
    • Assist with annual preparation of 1099’s.
    • Process Accounts Receivable invoices and supporting documentation.
    • Prepare grant/contract progress billing and required documentation as required.
    • Maintain grant and contract files including grant and contract tracking as required.
    • Process customer payments.
    • Respond to customer inquiries.
    • Prepare and post deposits.
    • Process donations.
    • Post in-kind donations.
    • Process accruals, allocations, and adjusting journal entries as directed.
    • Collect and review time records for accuracy and supervisory approval.
    • Maintain accounting files and records including archiving and shredding.

    Human Resources:

    • Process payroll and appropriate payroll deductions, withholdings, and wage garnishments as required.
    • Maintain personnel, payroll, and PTO records.
    • Perform employee onboarding and offboarding.
    • Oversee employee training schedules and re-certifications.
    • Distribute organizational memos, policies, and notifications
    • Monitor adherence to policies and identify potential compliance issues.

    Program Support:

    • Compile reports and summaries of department/program/project activity and grant billing as requested.
    • Assist with administrative needs and provide logistical support: preparation of mailings including thank you letters, meeting setup, travel accommodations, equipment, and supplies, etc.

    General Administrative:

    • Interface with the public, visitors, and vendors.
    • Document organization and filing.
    • Oversee phone system.
    • Order and maintain supply inventory.
    • Oversee janitorial service and maintenance, cleanliness of office.
    • Pick up and process mail and deliveries.
    • Maintain Organizational calendar.
    • Maintain office equipment including inventory.
    • Liaison between staff and IT including assisting staff with technical needs.
    • Manage tenant relationship.
    • Coordinate staff meetings and activities.

    PREFERRED SKILLS & QUALIFICATIONS:

    • High School Diploma or equivalent. Bachelor’s degree preferred.
    • 1 - 2 years of accounting clerk and administrative experience.
    • Experience with QuickBooks preferred.
    • Proficiency in Microsoft Office Suite.
    • Ability to use standard office equipment (computer, phone, virtual fax, copier, printer, scanner, etc).
    • Excellent time management and organizational skills with ability to meet or exceed deadlines.
    • High attention to detail.
    • Strong problem-solving abilities and resourcefulness in handling challenges.
    • Excellent professional verbal and written communication skills.
    • Must possess strong interpersonal skills and have the ability to maintain positive and supportive working relationships with individuals at all organizational levels.
    • Ability to work independently as well as with a team, to learn on the job, and to be flexible/adaptable.
    • Must be able to adhere to internal control and organizational policies and procedures with a commitment to ensuring consistent and compliant operations.
    • Must have the ability to maintain confidentiality and integrity of sensitive information including financial data.
    • Proficient in Microsoft Office Suite (Excel, Work, PowerPoint) and experience with or capability of learning grant and contract management software.

    EMPLOYMENT REQUIREMENTS:

    • A pre‐employment background screening will be performed.
    • Must be able to provide proof of eligibility to work in the U.S.

    PHYSICAL REQUIREMENTS:

    • Must be able to perform essential functions of the job satisfactorily.
