The Opportunity
- READY is seeking a highly organized, analytical, and proactive Data & Operations Manager to help power the organization's next phase of growth. Reporting to the Fractional Chief of Staff, this role serves as READY's operational backbone, ensuring organizational data is accurate and actionable, systems run efficiently, and leadership has the information and operational support needed to advance READY's mission.
- Working in close partnership with the Fractional Chief of Staff and CEO, the Data & Operations Manager coordinates day-to-day operations across data, reporting, finance, technology, organizational systems, and logistics. The ideal candidate enjoys building systems, solving problems, improving processes, and turning information into insights that strengthen organizational decision-making and impact.
Key Responsibilities
Data Management & Reporting
- Own and manage READY's organizational data systems, including School Finder, academic performance, enrollment, program data, and the 10,000 Quality Seats Plan.
- Develop dashboards, reports, and data visualizations that support leadership, board governance, fundraising, communications, and strategic decision-making.
- Ensure organizational data is accurate, consistent, and supports grant reporting, evaluation, and public communications.
- Monitor education accountability data, identify trends, and provide actionable insights that strengthen READY's work.
Strategic Research & Storytelling
- Conduct research and analyze education, enrollment, and accountability data to identify opportunities and inform strategy.
- Develop reports, presentations, and visualizations that communicate complex information clearly to a variety of audiences.
- Support READY's communications and advocacy efforts by providing accurate data and research that demonstrate organizational impact.
Finance Coordination & Organizational Operations
- Coordinate day-to-day financial administration in partnership with READY's Fractional Chief of Staff and external bookkeeping partner, including gathering documentation, tracking invoices, supporting accounts payable, and responding to routine financial requests.
- Maintain financial dashboards and assist with budget preparation, audits, grant-related financial reporting, and other organizational reporting needs.
- Maintain contracts, vendor records, insurance documentation, and organizational compliance calendars to ensure critical administrative functions remain organized and current.
- Identify and implement operational improvements that increase organizational efficiency and help ensure important administrative tasks are completed accurately and on time.
Office Operations & Events
- Coordinate logistics for meetings, events, trainings, and organizational convenings.
- Manage office purchasing, equipment inventory, and day-to-day operational logistics.
- Recruit and coordinate volunteers for organizational events.
- Ensure the office operates efficiently so staff can focus on advancing READY's mission.
Technology & Organizational Systems
- Coordinate day-to-day communication and administrative support for technology vendors, including IT, cybersecurity, website, and software providers, in partnership with the Fractional Chief of Staff.
- Support technology onboarding, equipment management, software administration, and staff technology requests to ensure the team has the tools needed to work effectively.
- Maintain technology inventories, licenses, and documentation while helping ensure organizational systems remain secure, organized, and reliable.
- Recommend technology and process improvements that strengthen organizational effectiveness and support READY's operational needs.s.
Required Qualifications
- Bachelor's degree in Business Administration, Public Administration, Data Analytics, Information Systems, Nonprofit Management, Education, or a related field, or equivalent professional experience.
- Three or more years of experience in operations, data analysis, organizational management, project management, or a related field, preferably in a nonprofit or mission-driven organization.
- Experience developing reports, dashboards, or other tools that support organizational decision-making.
- Experience supporting financial operations, including accounts payable, budgeting, or financial reporting.
- Strong proficiency with Google Workspace, Microsoft Excel, and data reporting tools.
- Excellent organizational, analytical, written, and verbal communication skills.
- Ability to manage multiple priorities independently while maintaining exceptional attention to detail.
Preferred Qualifications
- Experience working in education, education nonprofits, school support organizations, or public policy.
- Experience analyzing education, enrollment, accountability, or demographic data.
- Experience coordinating organizational events, logistics, or vendor relationships.
- Familiarity with nonprofit financial management and grant reporting.

Within the first year, the successful Data & Operations Manager will:
- Become READY's trusted source for organizational data, reporting, and operational support.
- Maintain accurate reporting for the 10,000 Quality Seats initiative, School Finder, and organizational performance.
- Produce dashboards and reports that strengthen decision-making, communications, fundraising, and board governance.
- Build efficient operational systems that improve organizational effectiveness and event execution.
- Serve as a dependable operational partner to the Fractional Chief of Staff and CEO.
Work Environment
This position is based in Rochester, New York and is primarily performed in person. The Data & Operations Manager works in a professional office environment and collaborates regularly with READY staff, consultants, vendors, volunteers, and community partners. Occasional evening meetings or events and limited local travel within the Rochester area may be required.
Physical Requirements
This position primarily involves work in a professional office environment and requires the ability to:
- Remain stationary for extended periods while working at a computer or attending meetings.
- Frequently operate a computer and standard office equipment.
- Communicate effectively in person, by telephone, and through virtual meeting platforms.
- Occasionally move throughout office and community settings to support meetings, events, and organizational activities.
- Occasionally lift or move materials weighing up to 20 pounds.

Compensation
- Salary: $70,000 – $85,000
