    HR & Operations Official

    Non-communicable diseases (NCDs, or chronic diseases) are the leading cause of death and disability, globally — yet there continues to be an underinvestment in action and financing.

    The Health Finance Institute (HFI) is a global-health, non-profit organization working to change this. We primarily design, structure and broker transactions addressing data, delivery, and device challenges across the chronic disease spectrum in the world’s low- and middle-income countries. We are strong believers in using blended finance structuring solutions to drive our impact goals. We recognize the critical value of partnerships across complex health ecosystems, and therefore partner with foundations, medical device and pharmaceutical companies, international organizations, and health enterprises to be most effective. We are global health, economics, and blended finance specialists working on developing partnerships between the public and private sector to address the NCD financing gap.  

    We are seeking a detailed-oriented, responsible, and professional HR & Operations Manager to help run day-to-day operations of the organization. This will be an independent contractor role working for about 8 hours per week. This position will report to the Chief Executive Officer (CEO). 

    Key responsibilities: The following areas are key functions of this role.

    1. Providing human resources support including the following:
    • Hiring: Maintain position descriptions for all current positions and immediate openings, coordinate posting, and recruitment as needed, facilitate collaborative interview and hiring processes. 
    • Benefits & Leave Programs: Manage benefits and leave programs including initial benefits counseling and enrollment, communicating timely policy changes, and required disclosures, assisting with questions and external referrals, and coordinating time off requests and other leave processes.
    • Continuous Improvement: Maintain and improve systems and processes to help inform and manage operations, including co-developing, administering, and reporting out on the quarterly pulse survey.
    1. Providing general operations support including the following:
    • Systems & Technology: Oversee technology infrastructure and related needs for the organization including procurement, maintenance, management of databases (HubSpot, Asana, Dropbox, Slack, Toggle) troubleshooting, and vendor relationships for hardware, software, and more.
    • Risk Management: Maintain and enforce all organizational safety and risk management policies, including matters related to liability insurance coverage. 
    • Facilities: Oversee procurement, maintenance, and operations of virtual office spaces in DC & VA
    1. Overseeing organizational finances, including the following duties:
    • Accounts Payable & Receivable: Prepare, send, and track outgoing invoices and process incoming payments, donations, and deposits. Process incoming invoices, contracts and reimbursement requests and ensure that each has appropriate supporting documents and approval, and that payments are aligned with policies and budgets. 
    • Budgets & Credit Cards: review monthly financials prepared by accounting team including providing input in necessary coding, and monitor employee use of credit cards including preparing approving credit card statements reports with receipts.
    • Annual Audit & 990: overseeing the annual audit and 990 process which includes corresponding with auditor and accountants and submitting requested information from auditors.
    1. Other Duties as Assigned: Assist with and participate in various special projects and initiatives as assigned or as interested.

    Required Qualifications:

    • Three or more years of relevant human resources and operations related experience, preferably in a nonprofit setting and/or startup
    • Minimum Bachelors but preferred Masters level qualification in a related field e.g. HR, Business Management, Project Management
    • Advanced knowledge of employment-related laws and expertise related to payroll, taxes, and benefits administration.
    • Ability to handle stressful, complicated, and confidential situations calmly and resolve issues appropriately.
    • Resourcefulness and creativity in proposing ideas, soliciting feedback, and gaining buy-in from others.
    • Analytical and evaluative skills to effectively research, collect, interpret and use data to support decision making.
    • Demonstrated experience with managing complex projects and competing requests for time and focus, including setting priorities, managing resources, navigating challenges and objections, and meeting or exceeding goals.
    • Strong interpersonal and communication skills necessary to build relationships, collaborate in a diverse and dynamic team environment, and handle stressful, complex and confidential situations calmly and appropriately.
    • Passion for the mission, vision, and goals of HFI.
