    Full-Time Exempt Position

    Reports to: Deputy Director

    Location: Dorchester, MA (In-Office)

    Compensation: $60,000 – 70,000

    About Mass Union

    The Mass Union of Public Housing Tenants is a union for people who live in public housing. Our Board is entirely composed of public housing tenants, and our mission is to protect and improve public housing across Massachusetts. We are a membership organization representing Local Tenant Organizations (LTOs) throughout the Commonwealth.

    Mass Union works alongside tenants to build strong, democratic resident organizations that advocate for safer, healthier, and more dignified communities. We are committed to equity, inclusion, and tenant-led decision-making.

    Position Summary

    The Operations Manager serves as the operational backbone of Mass Union, ensuring that the organization's systems, technology, administrative operations, and events run efficiently in support of our mission.

    This position leads the day-to-day management of organizational operations, including Salesforce administration, office management, event logistics, communications, technology systems, and administrative support. Working closely with all staff, the Operations Manager develops and maintains efficient systems that strengthen organizational effectiveness, improve internal processes, and support staff, residents, Local Tenant Organizations, funders, donors, and community partners.

    This is a full-time, exempt position.

    Job Responsibilities

    Salesforce & Organizational Systems

    • Serve as the primary administrator for Salesforce and other organizational technology platforms.
    • Maintain accurate records for members, affiliates, events, trainings, donors, grants, and organizational activities.
    • Develop and improve Salesforce workflows, reports, dashboards, and data management processes.
    • Ensure data integrity through regular audits, maintenance, and quality control.
    • Support organizational reporting, grant tracking, membership reporting, and operational planning through Salesforce.
    • Identify opportunities to improve organizational systems and operational efficiency through technology.

    Operations & Administration

    • Manage the day-to-day administrative operations of the organization.
    • Develop and maintain operational procedures and internal systems.
    • Coordinate organizational calendars, shared resources, and administrative workflows.
    • Respond to general inquiries and ensure timely follow-up or referral to appropriate staff.
    • Maintain organizational records, files, and administrative documentation.
    • Support organizational planning, special projects, and strategic initiatives.

    Events & Program Operations

    • Coordinate logistics for statewide conventions, Public Housing Day, trainings, fundraising events, board meetings, and other organizational events.
    • Manage registration, attendance tracking, event communications, vendors, catering, interpretation, printing, and event materials.
    • Maintain event information within Salesforce and other organizational systems.
    • Coordinate post-event evaluations, reporting, and follow-up communications.

    Technology & Office Operations

    • Serve as the primary coordinator for organizational technology platforms, including Zoom, Jotform, Give Lively, Stripe, Microsoft 365, and other operational systems.
    • Coordinate technology onboarding for new employees in collaboration with external IT providers.
    • Manage relationships with IT vendors, office vendors, building management, and service providers.
    • Oversee office supplies, equipment, maintenance, and workspace operations.
    • Ensure office technology and equipment remain functional and organized.

    Communications & Member Support

    • Maintain and update the Mass Union website.
    • Coordinate organizational communications, event announcements, and administrative mailings.
    • Support social media updates in collaboration with organizational leadership and other colleagues.
    • Maintain membership records and support membership administration.
    • Coordinate language access resources, including translation and interpretation services.

    Financial & Administrative Support

    • Support grant reporting, donation management, and administrative compliance activities as needed
    • Assist with budgeting for events and operational projects.

    Desired Qualifications

    • Bachelor's degree or equivalent professional experience.
    • Three to five years of experience in nonprofit operations, office management, project coordination, database administration, or a related field.
    • Strong experience coordinating meetings, conferences, trainings, or community events.
    • Demonstrated experience administering Salesforce or another customer relationship management (CRM) platform.
    • Strong understanding of organizational systems, workflow improvement, and operational best practices.
    • Excellent organizational, project management, and problem-solving skills.
    • Strong written and verbal communication skills.
    • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and Google Workspace.
    • Experience with Canva, Mailchimp, JotForm, Give Lively, Zoom, Stripe, or similar platforms is preferred.
    • Ability to manage multiple priorities while maintaining exceptional attention to detail.

    Performance Expectations

    • Maintain accurate, reliable organizational systems and records.
    • Ensure efficient day-to-day organizational operations.
    • Deliver high-quality logistical support for trainings, conventions, meetings, and events.
    • Maintain the integrity and effectiveness of Salesforce and other operational systems.
    • Demonstrate professionalism, sound judgment, accountability, and responsiveness.
    • Identify opportunities to improve organizational efficiency through technology and process improvement.

    Working Conditions

    This position is based in Mass Union's Dorchester office and requires regular in-office attendance. Evening and weekend work is infrequent and is generally limited to the Annual Convention, Public Housing Day, and the annual fundraising event.
