    Director of Operations

Organization: The Interfaith Families Project (IFFP)

Location: Hybrid (Remote / Rockville, MD)

    Position Type: Part-Time (30 hours/week)

    Hiring Range: $50,000 – $60,000

    About IFFP

The Interfaith Families Project (IFFP) seeks to develop our children, ourselves, and our community through opportunities for education about Christianity and Judaism, holiday celebrations, fellowship, spiritual gatherings, community service, and exploration of interfaith identity in an environment that encourages questions and respects different answers. We are an independent, member-driven community of approximately 100 interfaith families. For over three decades, we have been a pioneer in interfaith education, providing a welcoming "big tent" where Jewish and Christian traditions are celebrated with accuracy, respect, and balance. Grounded in shared values of compassion, justice, and community, IFFP is a unique space for learning, gathering, and dialogue. We are seeking a Director of Operations who doesn't just manage our operations, but actively cares about nurturing our community.

    Position Overview

IFFP is seeking an energetic, highly organized, and collaborative Director of Operations. Joining a dedicated team of three other part-time paid staff, the Director of Operations is the administrative core of our community, ensuring smooth systems and workflows, vibrant communications, and seamless programmatic execution. An equally essential requirement for this position is a deep understanding and dedication to IFFP’s unique mission.

This is a salaried, hybrid position requiring an average of 30 hours per week. While much of the administrative work can be done remotely during the week, the Director of Operations must be on-site in Rockville, MD (we operate from St. Mark’s Presbyterian Church at 10701 Old Georgetown Road), three Sunday mornings per month (approx. 8:45 AM – 1:00 PM) during the school year to facilitate logistics for our weekly Gatherings as well as key holidays, including Rosh Hashanah, Yom Kippur, and Easter mornings, plus Christmas Eve. Some virtual evening hours are also required (e.g., monthly Board meetings).

    Core Responsibilities

    1. On-Site Sunday Hands-On Execution & Program Support (10 hours/week)

This is not a traditional desk-only administrative job. Sundays at IFFP require a highly energetic leader who welcomes being actively hands-on. You will be the first professional on-site, moving throughout the facility to ensure the day runs smoothly.

Physical Setup & Breakdown: You will be responsible for ensuring the set-up of our space before members arrive (arranging tables, moving signage, organizing name tags, and coordinating materials) and helping to clean up once the Gathering concludes.

Hands-on Sunday Coordination: Coordinate volunteers, greet visitors, manage name tags, capture community photographs, and oversee and help with cleanup and breakdown.

Calendar Planning: Work closely with IFFP spiritual leaders and education director to develop and execute the comprehensive annual IFFP programming, holiday, and operations calendar.

Community Growth: Lead the operational logistics, physical materials development, and local advertising for IFFP events (e.g., open houses, special spiritual events, summer picnic, etc.)

Volunteer Engagement: Coordinate volunteer recruitment, support administrative needs for volunteer-led initiatives, and manage our annual Volunteer Appreciation efforts.

Inventory Management: Responsible for IFFP’s physical supplies, ensuring they are organized, managed, and refreshed. This includes monthly testing of our Automated External Defibrillator (AED) device.

IFFP Special Spiritual Events (e.g., Jewish High Holidays, Christmas, and Easter): Coordinate with IFFP clergy to ensure physical setup, programs, pledge forms, greet visitors, manage name tags, coordinate volunteer recruitment, capture community photographs, stay late to oversee and help with cleanup and breakdown, and any other necessary tasks to ensure the proper execution of IFFP special spiritual events.

    2. Administrative Leadership & Database Management (10 hours/week)

Database & CRM: Serve as the primary administrator for our Realm database. Maintain accurate records for new and prospective members, log visitors, manage family relationships, track photo permissions, event registration, and assist the Treasurer with financial tasks.

Communications & Office Workflow: Monitor organizational email inboxes and the phone line. Manage standard correspondence. Collect physical mail from our office, handle vendor invoices with the bookkeeper, and manage print materials.

Systems & Security Management: Oversee user access, records management, and collaborative folder sharing and structure within Google Workspace and Drive. Maintain and securely manage centralized password system.

Governance Partnership: Attend in-person weekly staff meetings and monthly virtual Board meetings. Collaborate with other employees to prepare the monthly Staff Report for discussion at Board meetings.

Facilities Liaison: Maintain our vital operational relationship with our host facility, Saint Mark Presbyterian Church, including execution of our space-rental agreement, tracking calendar updates, and coordinating room setups.

National Interfaith Connections: Maintain strategic relationships with key national stakeholders and peer organizations to share best practices and foster community alignment. Translate big-picture insights and cultural shifts into actionable intelligence to keep local programming relevant and proactive.

    3. Digital Communications & Media Management (10 hours/week)

Weekly Bulletin: Take full ownership of compiling and editing the error-free IFFP Weekly Bulletin and tracking engagement via Constant Contact to optimize community engagement.

Social Media & PR: Cultivate our public presence by creating, scheduling, and posting engaging content across Instagram, Facebook, and LinkedIn 2–5 times a week. Manage the IFFP photography intern and upload edited weekly Zoom recordings to YouTube. Work with Cause Inspired to maximize the use of our Google Ad grant. Advertise and publicize events, including the Couples Workshop.

Website Maintenance: Keep the IFFP WordPress site fresh, modern, and secure (managing forms, plugin updates, and search engine optimization). Keep our comprehensive annual calendar updated via Time.ly.

Annual Report: Author IFFP’s Annual Report.

Annual Campaigns: Coordinate and execute targeted annual fundraising appeals, including our End of Year campaign, Giving Tuesday, and holiday passing plates.

    Qualifications & Core Competencies

The Mindset: A proactive multitasker who values a structured workflow, but possesses the professional judgment to adapt pacing and priorities to meet the real-time needs of a dynamic community.

Administrative Operations: Proven experience in office operations, administrative management, or community organizing, preferably within a nonprofit or member-driven environment.

Tools: Proficiency or strong familiarity with the Google Workspace environment, Realm (or equivalent church/nonprofit CRM software), WordPress, Constant Contact, and basic video/photo editing tools (e.g., iMovie, Google Photos, Canva).

Communication Skills: Exceptional written communication and social media talent with an obsessive eye for detail, design, and accuracy.

Education: A Bachelor’s degree from an accredited institution is required; a Master’s degree (ideally in Nonprofit Management, Business Administration, Communications, Religion, or a related field) is preferred.

Physical Requirements: Candidates must be comfortable with the physical demands of event coordination, including the ability to frequently lift, move, and carry up to 30 lbs (such as bins of supplies, print materials, and signage.) Must be present on-site in Rockville, MD, approximately three Sunday mornings per month during the school year.
