Program Manager (NBRC Catalyst Grant – Part-Time)
Position Type
Grant-funded, 10 hours per week, three-year term
Position duration aligned with NBRC three-year period of performance

Board of Directors
Works closely with the Local Development District (LDD), contractors, consultants, Board leadership, and community partners
Position Summary
The Program Manager is a part-time position (10 hours/week) responsible for coordinating implementation of the NBRC Catalyst-funded project to repurpose an historic 1835 church building into The Entrepreneurial Center at The Well, a community hub for childcare, food entrepreneurship, and wellness programming in downtown Claremont, NH.
This role provides dedicated project coordination and grant oversight capacity, working in close collaboration with the Local Development District (LDD), which administers grant reimbursements, to ensure contractors, schedules, reporting, and communications remain aligned with the approved scope, budget, and timeline throughout the three-year grant period.
Core Responsibilities (Scaled to 10 Hours/Week)
- Project Coordination & Contractor Oversight
- Serve as the primary administrative point of contact for architects, engineers, and contractors
- Coordinate schedules, deliverables, and milestones across planning, permitting, construction, and closeout phases
- Track progress against the approved project plan and flag risks or delays
- Convene and document periodic project workgroup meetings
- Coordinate procurement and bidding processes in compliance with federal requirements
- Grant Coordination, Compliance & Reimbursements
- Track grant-funded activities and eligible expenses
- Coordinate with the Local Development District (LDD), which manages the official grant reimbursement process, by providing timely documentation, invoices, and progress updates
- Support preparation of reimbursement requests and required backup materials
- Assist with NBRC progress reporting, outcomes tracking, and final grant closeout documentation
- Maintain organized grant records to support monitoring and audit readiness
- Serve as a liaison between the project team, LDD, and NBRC/state program staff as needed
- Schedule Management & Program Readiness
- Maintain a master timeline for construction phases, inspections, and transitions to use
- Coordinate with childcare providers, kitchen users, and program partners to align occupancy and activation timelines
- Support phased activation of programming as project milestones are achieved
- Communications & Publicity Support
- Coordinate project-related communications, milestones, and public updates
- Support publicity related to construction progress, community impact, and program launches
- Assist with public meetings, site visits, and community engagement activities
- Board & Stakeholder Coordination
- Attend regularly scheduled meeting of the Board and provide concise written and verbal updates to the Board of Directors
- Support board committees related to facilities, partnerships, and programming
- Prepare summaries and briefing materials for funders and partners
Time Allocation (Typical Weekly Average)
- Project coordination & contractor communication: ~4 hours
- Grant coordination, documentation & LDD support: ~3 hours
- Scheduling, partner coordination & communications: ~2 hours
- Board/stakeholder updates & meetings: ~1 hour
