The Executive Assistant & Bookkeeper provides high-level administrative support to the Executive Director while managing day-to-day bookkeeping and financial recordkeeping for the organization. This role is essential to the smooth operation of our programs and requires a detail-oriented, organized, and mission-aligned professional who is comfortable working in a small nonprofit environment. In addition to supporting payments and financial processing, this position will assist the Executive Director in administrative needs across teams.
Key Responsibilities
Executive & Administrative Support
- Provide direct administrative support to the Executive Director, including calendar management, meeting coordination, and correspondence
- Prepare agendas, take meeting notes, and assist with board and committee meetings
- Maintain organized digital and physical files, including contracts, grants, and organizational records
- Serve as a point of contact for board members, donors, artists, and community partners
- Assist with logistics for literary events, workshops, and public programs
- Support special projects and general office operations as needed
Bookkeeping & Financial Administration
- Record and categorize income and expenses, including grants, donations, and program revenue
- Manage check schedules for contractors and manuscript consultants
- Process invoices, reimbursements, and artist payments
- Track restricted and unrestricted funds in accordance with nonprofit accounting standards
- Support budget tracking and prepare financial reports for the Executive Director and Board
- Coordinate with external accountant or CPA for audits, 990 filings, and year-end close
Qualifications
- Bookkeeping or accounting experience, preferably in a nonprofit setting
- Familiarity with nonprofit accounting practices and fund tracking
- Strong organizational skills and attention to detail
- Excellent communication skills and professional judgment
- Ability to manage confidential information with integrity
Preferred Qualifications
- Experience working in arts, culture, or literary organizations
- Knowledge of Chicago’s nonprofit or arts community
- Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field
- Experience supporting a board of directors
