    Description

    The Executive Assistant & Bookkeeper provides high-level administrative support to the Executive Director while managing day-to-day bookkeeping and financial recordkeeping for the organization. This role is essential to the smooth operation of our programs and requires a detail-oriented, organized, and mission-aligned professional who is comfortable working in a small nonprofit environment. In addition to supporting payments and financial processing, this position will assist the Executive Director in administrative needs across teams.

    Key Responsibilities

    Executive & Administrative Support

      • Provide direct administrative support to the Executive Director, including calendar management, meeting coordination, and correspondence
      • Prepare agendas, take meeting notes, and assist with board and committee meetings
      • Maintain organized digital and physical files, including contracts, grants, and organizational records
      • Serve as a point of contact for board members, donors, artists, and community partners
      • Assist with logistics for literary events, workshops, and public programs
      • Support special projects and general office operations as needed

    Bookkeeping & Financial Administration

      • Record and categorize income and expenses, including grants, donations, and program revenue
      • Manage check schedules for contractors and manuscript consultants
      • Process invoices, reimbursements, and artist payments
      • Track restricted and unrestricted funds in accordance with nonprofit accounting standards
      • Support budget tracking and prepare financial reports for the Executive Director and Board
      • Coordinate with external accountant or CPA for audits, 990 filings, and year-end close

    Qualifications

      • Bookkeeping or accounting experience, preferably in a nonprofit setting
      • Familiarity with nonprofit accounting practices and fund tracking
      • Strong organizational skills and attention to detail
      • Excellent communication skills and professional judgment
      • Ability to manage confidential information with integrity

    Preferred Qualifications

      • Experience working in arts, culture, or literary organizations
      • Knowledge of Chicago’s nonprofit or arts community
      • Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field
      • Experience supporting a board of directors
