    The Program Coordinator will report to the Vice President for Global Citizenship for Campus, Community, and Careers (GC4). The Program Coordinator is responsible for providing administrative and programmatic support for programs, grant-funded projects, and GC4 Institutes: The Institute on Experiential Learning and Engaged Dialogue (IELED) and the Interfaith Cooperation/Pluralism initiatives. These programs and projects seek to advance AAC&U’s efforts to integrate global and civic learning into curricular and co-curricular initiatives to prepare all students for work, life, and citizenship.

    DUTIES AND RESPONSIBILITIES

    These tasks include, but are not limited to:

    1. AAC&U Institutes
      • Coordinate and implement the logistics of the summer IELED and/or other Interfaith/Pluralism initiatives
      • Oversight of location, selection, contract negotiation, and all communication with onsite and virtual conference services
      • Build and manage online conference platforms for Institute-wide events
      • Create and track the budget for the institutes to ensure all expenditures are cost-effective
      • Maintain and upload programming, attendance tracking, and data entry
      • Manage communications with institute faculty and teams
      • Provide administrative support for the application and selection process
      • Manage inventory and distribution of all programming materials within budget guidelines
      • Prepare the programs and web-based Institute schedules
      • Update AAC&U website as needed
      • Prepare and implement Institute surveys and evaluations
      • Create and maintain the Institute websites
      • Prepare reimbursements, stipends, and bills

    GC4 Projects, Programs, Research, and Administrative Support for the VP

    Programmatic support for programs, including meeting planning, budget reconciliation, communication with program participants, grant reporting, research and literature reviews related to program topics, maintaining project websites and other communication tools, etc.

    • Draft and edit documents and prepare reports
    • Provide technical support for presentations
    • Create and design presentation materials
    • Assist in preparation and maintenance of project budgets
    • Assist in coordination of office initiatives
    • Provide research and administrative support for projects and programs
    • Coordinate and maintain the schedule of the Vice President and schedule and organize meetings for the VP
    • Manage detailed expense reporting for the Vice President and the office, maintaining accuracy and adherence to internal financial protocols
    1. Project Meetings and Events
      • Develop and manage correspondence with participants, create new information for webpages and other shared technology resources
      • Coordinate and implement logistics for onsite and virtual meetings
      • Maintain records and data for meeting planning and evaluation
      • Design, develop and use technology for presentations
      • Provide technical, editorial, and research support for publications, projects, and other projects
      • Coordinate complex meeting logistics across multiple global time zones on behalf of the Vice President, ensuring seamless scheduling and attendance.
      • Contribute to planning of meetings, conferences, and events to ensure quality control and organization of visual and written materials with constituents
    1. AAC&U Global Conference and Annual Meeting Support
      • Communication and Support for Planning Committee
      • Provide material support for affinity group discussions and other sessions that are facilitated by the VP
      • Provide assistance with exports of program proposals and sessions
      • Coordination with the Meetings and Communications team members for GC4 content for conferences and events
      • Onsite support and pre-meeting catering organization

    EXPERIENCE REQUIREMENTS:

    • Excellent organizational, oral and written communication, and editing skills
    • Strong project management and analytical skills
    • Strong computer skills and database management skills, including MS Office suite
    • Outstanding attention to detail, with understanding of larger contexts
    • Experience working with diverse populations
    • Dependability, flexibility, and strict confidentiality
    • Experience maintaining and monitoring budgets
    • Ability to work both collaboratively, as a member of a team, and independently to accomplish goals
    • Effective time management skills with the ability to balance and set priorities among many tasks and meet deadlines
    • Self-directed ability to thrive in a fast-paced advocacy organization at the center of higher education reform

    At least 3-5 years of work experience in higher education, association, and/or meeting planning required. A bachelor’s degree is also required, and a master’s degree is plus.

    This role is based in our Washington, D.C. office. A reasonable rate of compensation for this position is between $60,000-70,000.
