This position is hybrid and required to work onsite at our Alexandria, VA office 1 to 2 days per week.
The National PACE Association (NPA) is a nonprofit organization dedicated to advancing Programs of All-Inclusive Care for the Elderly (PACE), an innovative model of care that helps older adults with complex health needs continue living in their homes and communities. NPA supports and advocates for PACE organizations nationwide through policy leadership, education, research, technical assistance, and the promotion of high-quality, person-centered care.

The Senior Coordinator, Finance and Facilities is responsible for the successful execution of accounting activates for the National PACE Association. The Senior Coordinator, Finance and Facilities will process invoices and payments for several key NPA programmatic functions. This position also maintains NPA’s physical facilities, including onsite AV, and acts as a liaison to the building owner, maintenance staff and other vendors. The role provides customer service to NPA’s membership and supports remote staff as needed.
Position Responsibilities
- Process and track the association’s accounts receivable activates- including invoicing and payments for membership dues, conference exhibits, sponsorships, and learning management system revenue and licensing payments. Assists with financial tracking and reporting for other functions as needed.
- Coordinate the annual dues collection and tracking process and collaborates with the Membership Team to ensure effective customer service with members throughout the process.
- Provide support to the Conferences and Meetings Team by processing member and non-member conference registrations, invoices and payment.
- Support in establishing and maintaining an electronic cloud-based file system.
- Support payroll processing and timesheet submittal.
- Prepare and support accounting management activities including AR batches in iMIS, invoices, and deposits and store supporting balance sheet schedules for month end close.
- Assist bank reconciliations for all NPA bank accounts/treasury accounts.
- Assist with updating balance sheet schedules.
- Assist with developing and maintaining team policies and standard operating procedures
- Monitor vendor service compliance and equipment maintenance, including coffee machine, copiers, etc.
- Serve as facilities liaison to building management, security vendor, engineers and outside technicians.
- Track office supplies inventory and ordering, including kitchen supplies, mailing supplies, office supplies, and fulfilling requests from staff.
- Process all incoming and outgoing mail via USPS, FedEx, and UPS.
- Process order fulfillments for NPA specific literature and marketing materials.
- Provide ad-hoc in-office support for fully remote staff.
- Support in person meetings at NPA’s headquarters.
- Monitor general voicemail and email inboxes and either forward or respond to inquiries in a timely and customer centric manner.
- Assist with maintaining membership database and members with changes, including demographic updates, login issues, and member access to restricted website content.
- Performs other duties as assigned.
Requirements
Education
- Bachelor’s degree required in finance, accounting, or business administration or equivalent work experience and or training
Experience
- 2 years of relevant experience required.
- Experience in accounting, non-profit or mid-sized company experience preferred.
- Demonstrated competence in accounting and financial matters, including accounts payable, accounts receivable, and general ledger transactions
Working Conditions
Small, fast-paced team office environment with moderate noise levels. Normal sitting and standing activities for an office environment. Use of phones and computers for extended periods of time. Requires general mobility to move through the office and at off-site conference venues. Ability to lift 25 pounds and walk and stand for long periods during conferences and meetings. Ability to travel locally to NPA’s office in Alexandria, VA at least weekly and to other cities for meetings and conferences, 2-3 times a year.
