    The Philadelphia Trial Lawyer Association (PTLA) is an active professional association comprised of civil and criminal litigation attorneys. PTLA has been in existence for 66 years and is the oldest trial lawyer organization in Pennsylvania. Our members are dedicated to the preservation of the American legal system and protecting the right to a trial by jury. Our members advocate for justice and work to hold accountable those responsible for victims’ injuries due to negligence and misconduct.

    POSITION OVERVIEW:

    PTLA is seeking an experienced, detail-oriented, and highly motivated professional to serve as the Director of Engagement & Administration. This role is ideal for a collaborative leader and effective communicator who thrives in a dynamic, small-office environment. The ideal candidate is meticulous in their work and can conceptualize and implement ideas.

    The Director of Engagement & Administration will work closely with the Executive Director on all aspects of managing the association. In this capacity, the Director of Engagement & Administration assists the Executive Director in planning and executing the goals and directives of the Board of Directors, supporting member engagement initiatives, and managing projects aligned with PTLA’s mission.

    Key Responsibilities:

    Governance & Executive Support

    • Work closely with the Executive Director to manage the association and support the Board of Directors, including assisting with strategic planning, agenda development, and coordination of monthly Board meetings.
    • Collaborate on implementation of Board initiatives and special projects.

    Political Action Committee (PAC) Administration

    • Support the Executive Director in the administration of PTLA’s political action committee, the Committee for a Better Tomorrow.
    • Responsibilities include scheduling and documenting meetings, maintaining accurate fundraising records, preparing PA Campaign Finance Reports, and implementing directives.

    Committee Oversight & Member Engagement

    • Responsible for managing, energizing, and supporting the Association’s committees (e.g., Future Leaders Committee, Small & Solo Committee), and ensuring that their goals are met.
    • Work with committees to develop and facilitate programming, including educational and networking events that deliver value to members.

    Sponsorship Program Management

    • Serve as the primary liaison for PTLA’s Gold Sponsorship Program.
    • Maintain strong, professional relationships with sponsors through proactive communication and project management.
    • Identify and cultivate new sponsor relationships; develop marketing and solicitation materials for potential partners.

    Event Planning & Program Support

    • Collaborate with the Executive Director and Director of Membership & Events to plan and execute the Annual Justice Michael A. Musmanno Award Dinner, the Holiday Cocktail Party and other association events.
    • Support the Director of Membership & Events with continuing education programs, listserv management, and social media posts.

    Communications & Content Development

    • Contribute to the development and distribution of PTLA’s communication materials, including newsletters, member alerts, and promotional content for seminars and events.
    • Review and proofread communications to ensure accuracy, professionalism, and consistency with brand standards.

    Operations & Budget Collaboration

    • Assist with office operations and budget planning in coordination with the Executive Director, including systems maintenance, file management, and general office management.
    • Perform additional duties as assigned.

    PERFORMANCE STANDARDS:

    The successful candidate will be expected to:

    • Develop a thorough understanding of PTLA’s mission, organizational structure, and the legal and social issues important to the membership.
    • Collaborate closely with the Executive Director to support Board meetings, committee coordination, and strategic planning initiatives.
    • Plan and support high-quality committee member events and engagement opportunities that enhance the value of PTLA membership to plaintiffs' attorneys in Philadelphia and the surrounding counties.
    • Manage sponsor engagement efforts, including retention, benefit fulfillment, and identification of new partnership opportunities.
    • Understand and apply Pennsylvania Campaign Finance rules in support of PTLA’s Political Action Committee (PAC).
    • Produce clear, accurate written content, including meeting minutes, President’s E-News, member alerts, general correspondence, and emails.
    • Maintain and effectively utilize membership databases and internal systems for communication, reporting, and outreach.
    • Take initiative on projects while also contributing to a collaborative team environment.

    SKILLS REQUIRED:

    • Excellent written and verbal communication skills.
    • Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines effectively.
    • Proven ability to work collaboratively in a small team environment; demonstrates flexibility, initiative, and a cooperative mindset.
    • Capable of managing complex projects with minimal supervision, demonstrating sound judgment and follow-through.
    • Professional presence and interpersonal skills necessary to interact confidently with board members, sponsors, committee chairs, members, and individuals with strong personalities.
    • Ability to coordinate event logistics and work with venue representatives to ensure successful program execution.
    • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and Access; ability to quickly learn and utilize internal software systems and web-based platforms.

    QUALIFICATIONS/REQUIREMENTS:

    • Bachelor's degree and a minimum of 5 years of experience working in a business office. Prior experience in association management, political campaign or PAC finance, and meeting planning is a plus.
    • Must be available to work full-time, on-site in the Philadelphia office during all regularly scheduled hours.
