Girl Vow, Inc. is a city-wide nonprofit organization founded on the principle of gender-focused intensive mentorship for girls and gender-expansive youth aged 12 to 24 impacted by foster care, juvenile justice, and poverty. We aim to provide girls and gender-expansive youth with the foundation and support they lack through comprehensive, intensive mentorship, crisis management and aftercare, life skills workshops, and leadership opportunities. We work with girls at any stage of the juvenile justice process, and we are currently in secure and non-secure facilities throughout NYC, including Rikers Island.
Girl Vow is seeking a part-time Administrative Assistant. This administrative role manages calendars and email communications, assists with financial reporting, and provides miscellaneous support to both the Executive Director and team members. The ideal person will enjoy ensuring daily operations run smoothly.
Key Responsibilities
- Manages the Executive Director’s calendar, providing reminders of meetings, appointments, and other events.
- Monitors the Executive Director’s incoming email communications, handling routine administrative tasks.
- Supports new hire onboarding.
- Sends reminders to team members regarding outstanding tasks.
- Assists with grant applications by inserting boilerplate language, adding current organization facts and figures, gathering financial information from accountant, and submitting applications.
- Collects grant report information from team members and submits to funders.
- Reviewing End-of-Day staff productivity reports to ensure they are thoroughly completed.
- Collects timesheets, consultant invoices and grant invoices to ensure timely processing.
- Manages vouchers and expense processing.
- Sets up new hires with Google Workspace accounts, emails, and phone numbers.
- Maintains the organization’s Google Drive.
- Occasionally runs reports from ADP (payroll).
- Runs financial reports.
- Supports the Executive Director with biweekly reports.
- Drafts emails and correspondence when appropriate.
- Assists with social media.
Qualifications
- Bachelor’s degree or equivalent administrative experience.
- Experience working in a non-profit environment preferred.
- 5+ years' experience in administrative, executive, or operations support.
- Experience supporting senior leadership.
- Experience managing calendars, email communications, and scheduling.
- Proficiency in Google Workspace (Docs, Sheets, Drive, Calendar).
- Microsoft Excel (basic reporting, tracking, formatting) a plus.
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent written and verbal communication skills
