    Job Title: Enrollment Coordinator

    Location: Bellevue (main office) and Tacoma (alternate office)

    Department: Program

    Reports to: Director of Recruitment & Enrollment Experience

    Pay Range: $50,000 - $52,000 annually, paid as an hour wage + Generous benefits including 4 weeks of vacation along with 12 sick days and 2 personal days per year. 100% employer paid medical, dental, vision, and long-term disability for employees, 401(k) employer match, EAP and onsite workout facility.

    Work Schedule: Hybrid, 2 days onsite & 3 days remote with alternating weeks 3 days onsite & 2 days remote. Must be available to work evenings and weekends on a consistent basis.

    JOB SUMMARY:

    The Enrollment Coordinator position is an opportunity to flex your skills in evaluating and understanding the needs of youth, mentors, and parents/guardians. This role utilizes skills in screening, interviewing, and preparing applicants on both sides of the mentoring relationship. These screenings often contain stories of individuals’ trauma and difficult life circumstances.

    The best candidates for this role will be familiar with managing the emotions these screenings can bring up. Interactions with the public and documentation within our Salesforce CRM are the primary functions of the role. This role requires an outcomes-driven team player who is highly organized, comfortable and confident in speaking with the public (esp. with youth), who excels in an environment of innovation. As an organization, BBBSPS serves not only as defender of our youth’s potential, but also as curator of potential for our staff.

    JOB RESPONSIBILITIES:

    Essential functions:

      • Conduct youth enrollments, including individual orientations, interviews, and completion of other enrollment processes
      • Conduct volunteer enrollments, including background checks, pre-processing, interviews, professional assessments with recommendations for matching with youth, and completion of other enrollment processes
      • Assess and refer volunteers to alternative or additional training opportunities and services as needed
      • Display high-level proficiency in applying child safety and risk management knowledge, policies, and procedures throughout all aspects of job function. Identify potential safety issues for volunteers, children, and their families
      • Collaborate with other service delivery staff to ensure smooth transitions between functions
      • Review and follow up on references as appropriate. Immediately bring to supervisor any concerns about reference information which may influence volunteer enrollment
      • Has regular supervision meetings with their manager to ensure goals are being met and to address any issues and/or concerns
      • Review all enrollment information and make recommendations for participation in the program. Assess and apply factors contributing to successful matches. Effectively align volunteer interests and qualifications with service options of the agency
      • Maintain Salesforce documentation with a high degree of accuracy to assure accountability, effectiveness, and efficiency
      • Support the provision of volunteer pre-match training, match proposals, and match introductions as needed as well as additional special projects and community outreach
      • Promote and maintain cooperative working relationships with other community organizations
      • Participate in agency events to assist with annual fundraising goals
      • Meet goals for new matches activated, match length, quality measures, processing time
      • Other duties as assigned

    JOB QUALIFICATIONS:

      • Bachelor's degree in child development, social sciences or health sciences, or the equivalent combination of education and relevant work experience
      • Access to reliable automobiles, valid driver’s license, auto insurance
      • Understanding of child development and family dynamics
      • Understanding of issues/barriers that impact children and families from underserved populations
      • Ability to collect meaningful data and draw solid conclusions
      • Proficiency in Microsoft Word, Excel, Outlook.
      • Proficiency with CRM database software such as Salesforce (Match Force)
      • Ability to work independently exercising good judgment, decision-making and problem-solving skills
      • Ability to succeed in a fast-paced environment
      • Understanding of confidentiality and ability to maintain strict confidentiality of sensitive information required
      • Available to work evenings and weekends on a consistent basis
      • Excellent written and oral communication skills reflecting solid customer service in both in-person and virtual settings

    WORK ENVIRONMENT
