The Finance Associate supports Ballet Tech’s financial operations by maintaining accurate financial records, assisting with budgeting and reporting, and ensuring compliance with nonprofit accounting standards. This role requires attention to detail and strong analytical skills. The Finance Associate reports directly to Ballet Tech’s Director of Finance and works collaboratively with human resources, program, and development staff.
Essential Duties & Responsibilities
Accounting / Finance
- General Accounting & Finance Support
- Maintain general ledger and prepare journal entries, reconciliations, and accruals
- Process accounts payable and accounts receivable transactions in accordance with internal controls
- Support payroll processing and post payroll entries
- Assist with monthly, quarterly, and year-end closings
- Reconcile bank accounts and credit card statements
- Support administration of employee benefits, as needed
Grants & Budget Tracking
- Track restricted and unrestricted funds in accordance with donor intent and grant agreements
- Support preparation of financial reports for grant proposals/submissions
- Assist with monitoring and reporting on organizational and program budgets
Audit & Compliance
- Help prepare schedules and documentation for the annual audit and IRS Form 990
- Maintain accurate and organized financial files and records
- Ensure compliance with internal financial policies and GAAP
Office Management
- Serve as an additional liaison to Ballet Tech’s IT support and office equipment vendors / repair services
- Order office and breakroom supplies
- Assist with placing orders for programmatic supplies, costumes, props, etc.
- Filing financial and personnel records, as needed
Required skills and experience
- Bachelor’s degree in Accounting, Finance, Business Administration, or equivalent work experience (nonprofit experience strongly preferred)
- Proficiency with accounting software (e.g., QuickBooks)
- Strong Excel skills
- High level of accuracy and attention to detail
- Strong analytical and problem-solving abilities
- Organized and process-oriented, with a proactive approach to improving systems and efficiency
- Clear verbal and written communication skills
- Ability to work collaboratively across departments
- Professionalism and discretion in handling sensitive financial information
