    Overview

    Beloved, a national 501(c)(3) nonprofit organization based in Western Massachusetts, seeks a detail-oriented, quick-learning Finance Coordinator for a part-time position. While our ideal candidate is located in or near Northampton, MA, we are also open to considering remote candidates with exceptional qualifications. This position is currently offered at 20 hours per week at $30–35 per hour, commensurate with experience.

    About the Role

    As Finance Coordinator, you will join a close-knit team of three full-time and three part-time staff members, alongside a broader community of consultants, teachers, and project leaders. Reporting directly to our Finance and Operations Director, Amanda Doster, you will take primary responsibility for many of the administrative and operational aspects of the finance function while providing backup support as needed.

    Because Beloved both operates its own programs and serves as a fiscal sponsor to nearly 100 projects across the country, this role offers a unique opportunity to engage with a diverse range of mission-driven organizations. You will help strengthen internal systems, support financial administration, and contribute to the effective stewardship of a growing and vibrant community.

    Job Functions and Duties

    Financial Operations & Bookkeeping

    • Process and review expense requests, ensuring appropriate documentation, coding, approvals, and compliance requirements are met.
    • Collect and maintain W-9s and other required vendor documentation.
    • Review financial transactions and follow up regarding missing receipts or incomplete records.
    • Assist with bookkeeping and financial recordkeeping tasks, including account reconciliations and transaction review.
    • Support the identification, tracking, and documentation of incoming grants, donations, and restricted funds.
    • Coordinate with external accounting partners to ensure timely and accurate financial reporting.

    Fiscal Sponsorship Finance Administration

    • Serve as a primary point of contact for fiscally sponsored projects regarding financial processes and systems.
    • Support project onboarding and provide guidance on financial tools, policies, and procedures.
    • Assist projects with account setup and troubleshooting within Beloved's financial platforms.
    • Respond to questions and provide ongoing support related to expense requests, reimbursements, and financial documentation.
    • Maintain fiscal sponsorship records, agreements, and related administrative documentation.

    Administrative & Organizational Support

    • Help improve and maintain efficient financial and administrative systems.
    • Monitor shared inboxes and communication channels related to finance and fiscal sponsorship.
    • Manage multiple priorities and deadlines while providing responsive support to staff and sponsored projects.
    • Provide backup support for finance and operations functions as needed.
    • Perform other duties as assigned.

    Qualifications:

    Required Qualifications

    • Experience with bookkeeping and basic financial administration.
    • Familiarity with accounts payable and accounts receivable processes.
    • Experience reconciling receipts, reviewing financial documentation, and maintaining accurate records.
    • Working knowledge of QuickBooks.
    • Proficiency using spreadsheets, including Microsoft Excel and/or Google Sheets.
    • Proficiency with Google Workspace (Gmail, Docs, Drive, Sheets, etc.).
    • Experience using electronic signature platforms such as DocuSign.
    • Strong written and verbal communication skills with a compassionate tone.
    • Experience communicating financial requirements, policies, and expectations clearly and professionally.

    Preferred Qualifications

    • Experience with human resources administration.
    • Experience reviewing contracts and other organizational agreements.
    • Experience training, onboarding, or supporting users in new systems and processes.
    • Experience working in nonprofit organizations, fiscal sponsorship, grants management, or mission-driven organizations.
    • Familiarity with Mazlo or similar nonprofit banking and financial management platforms.
