The Position
The Administrative Assistant (AA), a 50% FTE position, will assist with various tasks related to the formation of Conservation Collaborative Learning Hubs (CCLH) and documentation on advancing the Regional Strategic Plan for Land Conservation educational exchanges. The AA will work with staff from the CCEJN and the Sierra Conservation Resource District and members of the CCLH on an ongoing basis. The AA will report to the Director of Sustainable Food Systems. This is a grant-based position through March 31, 2029.
Key Tasks
- Provide administrative and logistical support for the formation and ongoing activities of Conservation Collaborative Learning Hubs (CCLH).
- Coordinate meetings, educational exchanges, workshops, and other activities involving CCEJN staff, Sierra Conservation Resource District staff, and CCLH members.
- Schedule meetings; prepare agendas, materials, and other meeting documents; and assist with virtual meeting logistics.
- Maintain organized records and documentation related to CCLH activities and educational exchanges.
- Support documentation and tracking of activities advancing the Regional Strategic Plan for Land Conservation.
- Collect, organize, and maintain information, notes, participant input, and other materials needed to document project progress and outcomes.
- Assist with preparation of reports, summaries, presentations, and other grant-related deliverables.
- Maintain calendars, contact lists, project files, and other administrative systems associated with the project.
- Communicate with CCLH members and project partners to share information, confirm participation, and follow up on action items.
- Track deadlines, deliverables, and follow-up tasks to support timely completion of project activities.
- Provide general administrative support to the Director of Sustainable Food Systems and other project staff as needed.
- Perform other duties related to the successful implementation and documentation of the project, as needed.
Required Qualifications
- College graduate; additional education or training in business administration, communications, nonprofit management, agricultural or environmental justice studies, or a related field is a plus.
- At least one year of experience providing administrative, program, project, or organizational support.
- Strong organizational skills and the ability to manage multiple tasks, deadlines, and priorities.
- Excellent attention to detail and ability to maintain accurate records and documentation.
- Strong written and verbal communication skills.
- Proficiency with common office and digital tools, including Microsoft Office or Google Workspace, email, calendars, and virtual meeting platforms.
- Ability to work independently while also collaborating effectively with staff, community members, and partner organizations.
- Ability to maintain confidentiality and handle organizational and project information professionally.
- Demonstrated reliability, follow-through, and ability to meet deadlines.
- Commitment to CCEJN’s mission and to supporting community-centered approaches to land conservation and environmental justice.
Desired Qualifications
- Experience working with nonprofit organizations, community-based organizations, conservation organizations, or government agencies.
- Experience supporting grant-funded programs, including maintaining documentation and tracking deliverables.
- Familiarity with land conservation, environmental justice, sustainable agriculture, natural resources, or related issues.
- Experience coordinating meetings, workshops, educational exchanges, or community events.
- Experience documenting community engagement activities, including preparing meeting summaries, and other project documentation.
- Familiarity with collaborative or community-led planning processes.
- Experience working with diverse communities and multiple organizational partners.
- Bilingual skills in Spanish are desirable, but not required.
- Experience using project management, database, file-sharing, or other organizational software.
- Ability to communicate effectively and respectfully with community members, nonprofit staff, public agencies, and other stakeholders.
- Must be able to work with little or no supervision
