POSITION TITLE: Environmental Affairs Coordinator
LOCATION: Remote (headquarters Sacramento, CA)
REPORTS TO: Vice President, Environmental Affairs
SUPPORTS: Environmental Affairs and California Sustainable Winegrowing Alliance Teams
Position Summary
The Environmental Affairs Coordinator supports the Vice President of Environmental Affairs in serving Wine Institute's membership, provides administrative support to the Environment, Health & Safety (EH&S) Committee and its working groups, and assists the California Sustainable Winegrowing Alliance (CSWA) team in implementing its education and certification programs. This is a remote position with occasional in-person meetings in the San Francisco Bay Area, and meetings and events elsewhere in California, offering a wide range of responsibilities within a dynamic, fast-paced team.
Key Responsibilities
- Coordinate meetings of the Wine Institute EH&S Committee, CSWA Board of Directors and Sustainable Winegrowing Joint Committee (e.g., schedule, secure location, execute contracts, send email correspondence, collect RSVPs, order food, prepare materials, draft meeting minutes, manage onboarding of new committee/board members, administer Basecamp activities, etc.).
- Provide administrative support to Wine Institute’s EH&S Committee (e.g., coordinate logistics and follow-up for quarterly meetings, take meeting minutes, implement updated committee procedures, track committee action items and objectives, work with Wine Institute’s Director of Environmental & Regulatory Affairs to provide support to the Committee Chair and working groups, field vendor queries, etc.).
- Coordinate educational workshops and webinars (e.g., schedule, design/send invitations and flyers, collect RSVPs, secure location, execute contracts, order food, prepare materials, conduct outreach and promotion, etc.)
- Assist the CSWA Education and Outreach Manager with the logistics of the annual California Green Medal Awards program (e.g., secure and manage sponsors, coordinate the Steering Committee and judging panel meetings, help plan and execute awards recognition ceremonies/events, etc.)
- Provide administrative support to the Certification team (e.g., assist with certification applications, certificates and communications, online system updates, Salesforce certification database assistance, certification sign orders and mailings, log and review audit reports, etc.)
- Respond to general inquiries about CSWA and its education and certification programs, and assist participants by phone when needed (e.g., answer general questions, help navigate the online system and the certification process)
- Staff booths during trade shows and other industry events and engage with attendees about sustainable winegrowing and certification.
- Create user accounts for online users/certification vineyard and winery applicants and keep the online system up to date.
- Complete check requisitions for Wine Institute Environmental Affairs and the CSWA expenditures, and assist with financial tracking and audit preparation.
- Work with CSWA Certification Director, Certification Specialist and Wine Institute’s Accounting Department to bill and track payment of certified vineyards and wineries, sponsorships, etc.
- Maintain databases and information tracking systems including Wine Institute’s membership software and the EH&S Basecamp account.
- Conduct research and track grant opportunities, and assist with grant implementation, as needed.
- Assist with other duties as required by the Vice President of Environmental Affairs, the EH&S Committee, and CSWA team.
Additional Position Details
- This position reports to the Wine Institute Vice President of Environmental Affairs, and collaborates with staff and consultants from Wine Institute, CSWA, and the California Association of Winegrape Growers.
- The salary is commensurate with experience. This is a non-exempt position and is eligible for overtime compensation in accordance with applicable law.

- The work schedule is 35 hours per week, exclusive of an unpaid one-meal period each workday.
Qualifications
Required:
- At least three years of experience in an administrative or coordinator-level position;
- Excellent oral and written communication skills and strong attention to detail.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint) and virtual meeting platforms (e.g., Zoom, Microsoft Teams).
- Minimum of a Bachelor’s degree in a relevant field, or equivalent professional experience.

- Experience within the wine industry, trade associations and/or the environmental/sustainability field.
- A desire to learn about sustainable winegrowing, certification and environmental issues in the wine sector while working in a fast-paced and collaborative environment.
- Familiarity with Salesforce, Basecamp, or similar CRM/database platforms.
- Experience with systems improvements and efficiency.
Additional Information
Wine Institute is headquartered in Sacramento and Washington, DC. The Coordinator is currently remote; however, Wine Institute reserves the right to modify work arrangements, including implementing hybrid or in-office work requirements, based on business needs. The Coordinator will participate in periodic in-person meetings with the Environmental Affairs/CSWA team, which typically take place once a month in the San Francisco Bay Area, along with other in-person meetings, workshops and events throughout California (e.g., committee and board meetings, educational workshops, conferences).
