    Overview of Organization

    NJ LEEP is a college access and success program for low-income and first-generation students from the greater Newark area. NJ LEEP currently serves middle school students, high school students, college students, and family members. We help students perform at high academic levels by building skills through law-related and other educational programs, developing the habits necessary for college success and community leadership, and offering exposure to colleges, careers, and role models who have achieved professional success. NJ LEEP’s model is challenging and rigorous and prepares NJ LEEP program graduates for success in college. NJ LEEP strives to be a diverse, equitable, and inclusive organization.     The salary range for this position starts at $65,000, and NJ LEEP offers a competitive benefits package for full-time employees.

    Title & Position Summary

    We’re looking for an enthusiastic and highly organized office manager to join our team. In this role, you’ll be at the heart of our operations, ensuring the office runs smoothly and efficiently. From fostering a positive office culture to coordinating essential administrative functions, you’ll play a pivotal role in shaping our organization’s success.

As a team member, you must display a professional and positive attitude and contribute to a positive staff dynamic.

    Responsibilities

      • Managing the everyday functions of the office including maintenance and oversight of supplies, furniture, equipment, and all office spaces.
      • Greet visitors and assist them as needed. Ensure common areas appear neat and professional at all times and serve as the main point person for office aesthetic and beautification projects. Prepare new employees’ office space.
      • Serve as the organization liaison with building management, as well as all vendors related to facilities and technology management.
    • Track inventory, order, and stock all office, restroom, cleaning, and kitchen supplies. Seek cost-effective vendors for purchase of all supplies.
    • Serve as the main internal point person on all technology matters. Instruct staff in standards of use for phones, computers, printer/copier, etc.; assist staff as needed with software and application troubleshooting; manage accounts for organizational technology services; and serve as liaison to IT consultant. Manage student Chromebooks and device loan tracking systems.
      • Assist with greeting new hires and provide initial new hire orientation and set up of phone, computer, access to systems, and other onboarding tasks
    • Manage the main office phone line and general email inbox to ensure timely responses and follow-up by appropriate staff, as needed.
      • Oversee and support all administrative duties in the office and ensure that the office is operating smoothly.
      • Other duties as assigned.

    Minimum Experience & Qualifications

    • At least three years of related experience
    • Strong computer skills, including proficiency in Microsoft Office and Google Suite
    • Strong organizational skills and attention to detail
    • Excellent written, verbal, and interpersonal communication skills

    Preferred Experience & Qualifications

    • Bachelor’s degree
    • Spanish language fluency
    • Previous work experience in nonprofit

    Work Environment:

    • Traditional Office Environment
    • The Office Manager role is an in-person role Monday through Thursday, with flexibility to work remotely on Fridays.

    Physical Effort:

    • Mostly sedentary, with the ability lift and/or move up to 15 pounds
