    TITLE: Development Associate

    REPORTS TO: Vice President, Development

    The ICAA:

    The Institute of Classical Architecture & Art (ICAA) is a nonprofit membership organization with 15 chapters across the country committed to promoting and preserving the practice, understanding, and appreciation of classical design. To do so, the ICAA offers a broad range of educational programs. These include intensives for architecture and design students, introductory programs for middle school students, lectures and walking tours for the public, continuing education courses for professionals and enthusiasts, travel programs to visit classical masterpieces, the publishing of original and reprinted books, and an annual journal entitled the Classicist. Through the annual Arthur Ross Awards, as well as other national and regional award programs, the ICAA also honors contemporary leaders of classical design and the related fields.

    The Position:

    The ICAA is seeking a Development Associate with non-profit experience who will support fundraising efficiency and day-to-day operations. The Development Associate will report to the Vice President, Development and will work closely with the Development team and other departments cross-functionally as needed. Key responsibilities include managing and maintaining the organization’s donor database, Raiser’s Edge, and ensuring data accuracy, integrity, and efficiency across all fundraising and donor engagement activities. Duties include overseeing gift processing and acknowledgement letters, correspondence with donors, research, special mailings, event support, and tracking of contributions, renewal dates, and pledges. This fast-paced position requires excellent communication and writing skills, a keen eye for detail, and a commitment to continuous improvement to ensure the seamless operation of development systems and processes.

    Position Responsibilities:

    • Manage the Raiser’s Edge donor database to ensure consistent and accurate gift entry, reporting, queries, and data cleanup. Add new constituent records, notes, attributes, and actions. Maintain up-to-date training on Raiser’s Edge functionality
    • Generate weekly, monthly, and ad hoc reports for fundraising, financial analysis, and organizational leadership. Create weekly reports of outstanding pledges, gifts received, and acknowledgment letters and distribute to the Development team
    • Oversee fundraising calendars, maintain and update internal tracking documents that record sponsorship benefits, fundraising meeting results, proposals, and others as needed.
    • Assist in entering and processing pledges and donations from individuals, corporations, and foundations in Raiser’s Edge and draft acknowledgment letters as needed. Oversee all aspects of gift processing, ensuring gifts are appropriately credited to constituents, funds, campaigns, and appeals and receipts and documentation are properly filed
    • Keep Board contact information and Committee Lists up to date, manage new Board member onboarding and orientation; schedule all annual committee meetings, record Board and committee meeting minutes
    • Update website and create departmental email blasts for events, travel, campaigns, and other communications
    • Schedule internal and external meetings with a variety of stakeholders
    • Process checks and ensure that all gifts are accurately coded and submitted to the finance office. Process and code credit card payments, and generate receipts. Prepare and submit check requests for vendor payments for the Development department.
    • Assist with public programs and special events as needed, including event set up and break down
    • Maintain development calendar (meetings, renewals, follow-ups),assist with the preparation of materials and briefings for meetings/events, and share weekly reports with the Development department on action items.
    • Greet and assist visitors, answer general development phone line, assist with donor inquiries
    • Assist with preparation of correspondence, meeting materials, and special mailings
    • Special projects as needed

    Required skills and qualifications:

    The ideal candidate will be self-motivated and flexible, with excellent interpersonal skills and the ability to work with staff and stakeholders at all levels (internally and externally). They will take initiative, work independently in a high-paced environment, multi-task, and prioritize responsibilities. They must have impeccable follow-up and attention to detail to see all tasks through to completion. We seek candidates with the following qualifications and experience:

    • Must have Bachelor’s degree
    • At least 1 year of related experience in a nonprofit organization
    • Superior verbal and written communication and interpersonal skills
    • Ability to interact professionally with trustees, members, donors, volunteers, and colleagues and with discretion
    • Proficient in Mac, Microsoft Office and G-Suite. Experience with Raiser’s Edge or similar database
    • Ability to anticipate needs and prioritize, work in a fast-paced team environment, and meet deadlines
    • Warm, energetic, and customer-orientated
    • Interest in architecture, art, or design is a plus

    The ICAA is currently a hybrid work environment with staff in the office a minimum of three days a week and attending a variety of in-person events. In-office days and hours must be flexible given our robust calendar of events, including on evenings and weekends.
