Job Summary
We are seeking a mission-driven Assistant Coordinator to join our Family Child Care team! You will be responsible for assisting the Program Coordinator in the management of Rainbow's Family Child Care (FCC) system, in accordance with the Department of Early Education and Care (EEC) contract mandates and licensing requirements. In this role, you will provide consultation and support to a maximum of 20 affiliated FCC Educators in working with families, as well as working directly with families to support their access to additional resources.
Duties:
- Meet with FCC Educators at least monthly, provide training and technical assistance as needed, and be available to support Educators in working directly with families.
- Ensure FCC Educators make effective use of the resources Rainbow provides for their work with families, such as translation and interpretation supports.
- Provide training and technical assistance to Educators on working with families, consulting with Educators on family needs, and supporting Educators in effective communication and meaningful engagement with families.
- Hold parent conferences regularly, including on a quarterly basis for infants and children with disabilities, and minimally at six-month intervals for all other children.
- Involve parents in the planning, development, and evaluation of the early education and care services they receive.
- Present opportunities for families to take the Ages and Stages Questionnaire to better understand their children’s developmental progress on a cadence appropriate for the age of the child. Provide opportunities for families to discuss the results with FCC Educators and Rainbow staff as needed.
- Develop and maintain relationships with community liaisons through referral, outreach, collaboration, and participation in local/regional organizations that are related to Rainbow's mission.
- Maintain children's files (EEC Children's Checklist): intake paperwork, reassessment paperwork, medical records, screenings and evaluations, and exchange of communications.
- Maintain attendance by updating Educators' end times on daily attendance log, receiving and documenting daily attendance phone calls from Educators, batching daily attendance in ProCare, distributing and collecting monthly attendance sign ins and outs from Educators, and reconciling Educators' attendance with ProCare.
- Review Educator invoices for accuracy, after FCC Coordinator has prepared them and before submitting to Accounting for payment.
- Assist the FCC Coordinator in developing the annual budget and maintaining fiscal responsibility for the program budget during the year, including submission of program supplies requests.
- Attend monthly FCC program meetings. Attend and assist the FCC Coordinator in coordinating and implementing Professional Development Days.
- Perform administrative duties for the FCC program in the absence of the FCC Coordinator.
- Participate in meetings with the Executive Director, FCC Coordinator, FCC Educators, other Program Coordinators, and Administrative staff, as required.
- Perform all other duties as assigned.
Qualifications:
- A minimum of Associate's Degree in Early Childhood Education or related field, a lead teacher certification and/or CDA certificate and 2 years of experience in the field of family child care, social services, or related field
- Previous experience working with families in supportive and respectful ways
- Completion of EEC-sponsored trainings in trauma-informed care, reflective practices, and the Family Engagement Framework
- A minimum of 6 months of experience working in an office setting, including answering telephones, word processing, operating office equipment, and familiarity and experience with office procedures preferred
- Knowledge of EEC/DCF regulations
- Knowledge of CDA preferred
- Knowledge in developmentally appropriate skills for birth - 5 years of age
- Knowledge of computers and basic software programs used at Rainbow (e.g., Microsoft Office programs, ProCare or similar childcare management software)
- Experience in establishing and maintaining positive, trusting, supportive relationships
- Ability to work independently
- Ability to multitask successfully
- Strong organizational and communication skills
Other Requirements:
- Must have reliable transportation and a valid driver's license
- Must successfully complete a fingerprint-based background record check (CORI/SORI)
- Must maintain CPR and First Aid certificates
- Must be bilingual - English and Spanish
Physical Requirements:
- Mandatory physical every 2 years
- Ability to navigate stairways and lift a minimum of 25 pounds
- Physical ability to fulfill the duties and responsibilities of the position (with or without accommodation)
