We are seeking a proactive, detail-oriented, and creative Events Coordinator to lead the planning, coordination, and execution of Villa’s primary and secondary fundraising events. This role offers an exciting opportunity to contribute to our mission by fostering relationships with donors, volunteers, and community partners through dynamic event management. Key Responsibilities:
- Plan, coordinate, and execute all aspects of Villa’s major fundraising events, including the Gala, Race Day, and Golf Tournament of Hope, as well as regional events and holiday celebrations.
- Develop and implement sponsorship and underwriting solicitations to maximize event revenue.
- Recruit, manage, and engage event committees, facilitating planning meetings and volunteer participation.
- Design, produce, and distribute event collateral such as invitations, signage, and digital materials.
- Coordinate marketing efforts through news releases, social media, email campaigns, and website updates.
- Negotiate with vendors and manage event budgets to ensure cost-effective execution.
- Manage post-event activities including invoicing, thank-you notes, and donor follow-up.
- Analyze event participation and donor engagement to inform future strategies.

We are entering an exciting new chapter, and we are looking for a detail-oriented, motivated, and growth-minded professional to join our Philanthropy team. As we move through the final phase of a transformational capital campaign and continue expanding our impact in the community, we are also restructuring and strengthening our development operations to support future growth and opportunity.
Pay Rate: $20.00 - $24.00/hour
Schedule: Monday – Friday 8:30am - 5:00 pm (40 hrs/week)
Location: 2116 E. Villa St. Pasadena, CA; On-Site.
Qualifications and Requirements:
- Bachelor’s degree or equivalent experience in event planning, nonprofit management, or related field.
- Proven experience planning and executing successful events.
- Ability to manage multiple projects and meet deadlines efficiently.
- Strong budget development and monitoring skills.
- Excellent customer service, written, and verbal communication skills.
- Proficiency in Microsoft Office Suite; experience with Adobe Creative Suite and Canva is a plus.
- Knowledge of email marketing systems and website development is desirable.
- Highly organized, detail-oriented, with a high level of integrity, diplomacy, and initiative.
- Physical ability to lift up to 25 pounds and perform light physical tasks as needed.
