    About Minds Matter Colorado

    Since 2004, Minds Matter Colorado has connected driven and determined students from low-income backgrounds with the people, preparation, and possibilities to succeed in college, create their future, and change the world. Our three-year program, beginning in the tenth grade, provides wrap-around services, including 2:1 mentoring with dedicated volunteers, one-on-one college and career coaching, weekly college readiness, career exploration, and life skills curriculum, enrollment in pre-collegiate summer programs at top-tier postsecondary institutions, guaranteed acceptance into college through strategic higher education partnerships, and scholarship support.

    Since our founding, 100% of Minds Matter Colorado seniors have gained admission to a 4-year college or university with scholarships to pay for it.

    About the Role

    Reports to: Executive Director for overall supervision. Director of Advancement for project supervision.

    Direct reports: None; partners with other staff

    FLSA classification: Non-Exempt, Contract

    The Office Administrator (OA) will serve as a key support person to ensure that MMCO can succeed. In this role the OA will primarily support the Executive Director with operational functions and the Director of Advancement with fundraising support.

    The OA will manage systems, support communications, reporting and key tasks will enable other staff to focus on their responsibilities. This 20 hour per week role is an ideal opportunity for someone who wants to make a profound difference, and support those who are impacting the lives of high school and college students who come from underserved and under-resourced communities but have tremendous potential.

    As an experienced professional, your primary focus will be to perform tasks that will serve as a bedrock for all other activities. To be successful, you must be highly organized, efficient, tech savvy, and an effective communicator who is energized by working with a diverse set of stakeholders and making a difference.

    Minds Matter Colorado has five employees in addition to this role and a budget of $1.3 million. The organization works with more than 100 students, 19 partner high schools, and has 190+ volunteers.

    Key Responsibilities

    Overall

    • Demonstrate a powerful belief in and passion for Minds Matter Colorado’s mission.

    Operations Support

    • Manage MMCO’s IT needs including computers, logins, video-conferencing, and cleans up and manages MMCO’s shared drive.
    • Serve as the primary contact for information and vendors related to human resources and employee benefits.
    • Coordinate travel when necessary.
    • Serve as MMCO’s liaison with MMCO’s vendor for content provided on the website and social media.
    • Track staff evaluation progress to ensure that employee evaluations occur on an annual basis.
    • Manages volunteer onboarding logistics.

    Development Support

    • Draft and send acknowledgement letters to donors.
    • Compile and track give/get information for the Associate Board, Board of Directors and Board of Trustees.
    • Compile data for monthly fundraising reports.
    • Support MMCO’s annual gala and other fundraising events administratively.
    • Send annual tax summaries to donors.
    • Create and upkeep MMCO’s organization profile on external giving platforms (Candid, Colorado Gives Foundation, Benevity etc).
    • Coordinates with Minds Matter National for the End Of Year campaign.

    Administrative Support

    • Perform MMCO’s data entry into multiple systems including Bloomerang and Salesforce, and inputs contact lists.
    • Check the MMCO P.O. Box and office mailbox once a week.
    • Answer general email and phone call inquiries.
    • Manage meetings set-up, reserves rooms, orders foods, and ensures meeting rooms are cleaned up afterwards (this role does not have to do the clean-up, just makes sure it happens).
    • Manage the organization calendar with all committee meetings, Board meetings, sessions, and events.
    • Support compliance work with Minds Matter Colorado and National requirements including background checks and fingerprinting.

    Your Competencies & Experience

    Required

    • Has a high level of organization and is extremely detail oriented.
    • Is tech savvy and comfortable with a variety of programs and applications including Google Suite.
    • Is a team player who is not afraid to jump in and get their hands dirty to get things done.
    • Has exceptional oral and written communication including adapting style and approach to diverse constituencies and needs.
    • Thrives in a lean, fast-paced, highly collaborative, and entrepreneurial environment; has the integrity, wisdom, persistence, and humor when appropriate.
    • Is a self-motivated problem solver with maturity and tact to collaborate effectively with colleagues, Board Members, external partners, and team members.
    • Has a commitment to diversity, equity, inclusion, and belonging. Dedicated to active and ongoing learning, understanding one’s identity, power, and privilege, and acknowledging the intersectional identities of students, staff, volunteers, and the Board.

    Preferred

    • Experience working directly with volunteers.
    • Customer service experience.
    • Working knowledge of Salesforce and other databases.
    • Bilingual English/Spanish.

    Background Check & Mandated Reporter Requirements

    • Engagement is contingent on successful completion of a background check and fingerprinting.
    • As a worker in an organization serving minors, this role is a mandated reporter under Colorado law and is required to complete training in identifying and reporting child abuse and neglect.

    Time Commitment

    This is a contract role, with a maximum of 20-hours per week. Attendance at the annual Spring gala is expected. Some evening and/or weekend support outside of regular business hours might be required.

    Location

    This role is hybrid. MMCO maintains office space in Denver with desk space available, and meets in person one day per week on Wednesdays.
