    The Institute for Contemporary Psychotherapy (ICP) is one of New York City's leading nonprofit mental health organizations, providing affordable psychotherapy, professional training, and community education for more than 50 years.

    Overview

    The Institute for Contemporary Psychotherapy (ICP) is seeking a Medical Billing & Financial Operations Specialist to join our administrative team. This newly redesigned position combines patient and insurance billing support, payroll coordination, and accounts payable responsibilities in a collaborative nonprofit mental health organization.

    The successful candidate will work alongside ICP's existing insurance billing specialist, helping to support our growing billing operation, self-pay and insurance, while also coordinating payroll and managing accounts payable functions. The position requires extensive use of our electronic health record (EHR) and plays an important role in ensuring that patient accounts, insurance claims, payroll information, and financial records are processed accurately and efficiently. Applicants with strong medical insurance billing experience will be given preference. We're looking for someone who values collaboration and is excited to contribute to the mission of a nonprofit mental health organization.

    Responsibilities

    Patient & Insurance Billing

      • Process and monitor patient self-pay and insurance billing.
      • Monitor patient accounts, including self-pay fees, copays, and outstanding balances.
      • Submit and track insurance claims.
      • Assist in researching and resolving insurance claim issues and denials.
      • Post insurance and patient payments.
      • Update and maintain accurate patient ledgers within the electronic health record.
      • Work with therapists regarding patient balances and collections.
      • Respond to patient and insurance billing inquiries.
      • Maintain accurate billing records and documentation.

    Payroll Coordination

      • Serve as ICP's liaison with our outsourced payroll provider.
      • Coordinate monthly therapist and faculty payroll information.
      • Troubleshoot payroll questions and assist in resolving payroll-related issues.
      • Communicate with therapists, faculty, and the payroll vendor to ensure timely and accurate payroll processing.

    Accounts Payable

      • Receive, verify, and enter invoices into QuickBooks.
      • Prepare and process vendor payments.
      • Maintain organized accounts payable records and supporting documentation.
      • Respond to vendor inquiries regarding invoices and payments.
      • Assist with month-end accounts payable activities.

    Qualifications

    We're looking for someone who is organized, dependable, detail-oriented, and enjoys solving problems.

    Strongly Preferred

      • Experience with medical insurance billing, including researching and resolving claim issues.
      • Experience working with an electronic health record (EHR).
      • Experience with QuickBooks.
      • Experience coordinating payroll or serving as a liaison with an outsourced payroll provider.
      • Strong organizational and time management skills.
      • Excellent communication and customer service skills.
      • Proficiency in Microsoft Office, particularly Excel.

    This is a newly redesigned position that reflects ICP's evolving operational needs. While the core responsibilities are outlined above, we expect the role to continue evolving over time as organizational needs change.
