    Position Overview

    The Program Operations Coordinator plays a key role in supporting the daily operations and coordination of Community School programming at Long Island City High School. Working closely with the Community School Director, school staff, community partners, and Zone 126 team members, the coordinator ensures programs are organized, responsive, and effectively implemented to support student success.

    The Program Operations Coordinator oversees internal and external programming logistics, attendance initiatives, administrative systems, and operational processes that strengthen the Community School strategy. This role serves as a central point of coordination across departments, ensuring programs run efficiently while fostering meaningful partnerships with students, families, school staff, and community organizations.

    Key Responsibilities

    Program Operations & Coordination

      • Coordinate the planning, implementation, and daily operations of Community School programs, workshops, and special events.
      • Manage logistics for internal and external programming, including scheduling, room reservations, materials, transportation, and vendor coordination.
      • Support after school, enrichment, college and career, attendance, wellness, and family engagement programming as needed.
      • Monitor program calendars and ensure activities are communicated effectively to school staff, students, families, and community partners.
      • Assist with onboarding new programs and maintaining operational systems that support high-quality implementation.

    Attendance & Student Engagement

      • Assist in coordinating attendance incentives, outreach efforts, student recognition events, and family engagement activities.
      • Support outreach efforts through phone calls, meetings, home visits when appropriate, and school events to strengthen student and family engagement.

    Administrative & Operational Support

      • Provide administrative support to the Community School Director and Community School team.
      • Prepare agendas, meeting notes, presentations, and internal communications.
      • Maintain organized records, purchasing documentation, inventories, and program files.
      • Coordinate supply orders, office organization, equipment, and shared program resources.

    Community Partnerships & School Collaboration

      • Build and maintain positive relationships with school administrators, counselors, teachers, social workers, deans, and community partners.
      • Coordinate communication with external organizations facilitating workshops, events, and student services.
      • Assist in planning school wide events, family workshops, resource fairs, and community celebrations.

    Data, Evaluation & Continuous Improvement

      • Maintain accurate records of program participation, attendance, referrals, and operational activities.
      • Partner with the Data & Evaluation Manager to support program performance tracking.
      • Assist with collecting participant feedback, analyzing program outcomes, and identifying opportunities for continuous improvement.

    Other Responsibilities

      • Represent Zone 126 and Long Island City High School in a professional, culturally responsive, and trauma informed manner.
      • Maintain confidentiality of student and family information.
      • Perform other duties as assigned in support of the Community School strategy

    Qualifications

    • Bachelor’s degree or equivalent preferred.
    • Strong organizational and time management skills.
    • Basic computer skills, including Microsoft Office and Google Workspace.
    • Ability to perform both administrative and hands-on responsibilities.
    • Strong communication and interpersonal skills.
    • Reliable, punctual, and dependable.
    • Ability to work collaboratively in a team environment.
    • Ability to lift and carry supplies weighing up to approximately 30 pounds.

    Salary and Benefits

    Hourly Rate: $30 per hour for a maximum of 25 a week (no room for negotiation)

    Work Location and Schedule

    • Primary Location: Long Island City High School
    • Travel: Local travel between school pantry locations may be needed
    • Schedule: Will be determined based on program needs, community events, and school calendar.

    Pre-Employment Requirements

    As a condition of employment, candidates receiving a conditional offer must successfully complete all required pre-employment screenings, clearances, and documentation prior to their start date. Requirements include, but are not limited to:

      • NYC Public Schools Personnel Eligibility Tracking System (PETS) clearance, as applicable.
      • NYC DOHMH IdentoGO fingerprinting for School-Age Child Care (SACC).
      • New York State Office of Children and Family Services (OCFS) Statewide Central Register (SCR) clearance.
      • Completion of all required New York State Education Department (NYSED) and OCFS forms and documentation.
      • A current medical examination, including required tuberculosis (TB) screening.
      • Verification of work authorization and any additional clearances required by FCNY, Zone 126, NYC Public Schools, NYC DOHMH, NYSED, OCFS, DYCD, or other applicable regulatory agencies.
