    Position Summary

    The Administrative Secretary provides essential support to the Meeting’s day-to-day activities and operations. Working closely with volunteer leadership, and other staff who support events, rentals, facilities, grounds, and finances, the Administrative Secretary manages the central systems and structures that keep the Meeting running smoothly, including communications, electronic platforms, records, and the administration of shared resources including space and technology. They also offer a warm and knowledgeable welcome to visitors and newcomers.

    We are looking for someone who is organized, discreet, and genuinely service-minded — a person who enjoys supporting the work of others, can hold many threads at once, and brings care and attention to detail to routine administrative tasks. The role calls for comfort working both independently and collaboratively, sound judgment in handling sensitive information, exceptional communication abilities, and a spirit of hospitality.

    Summary of responsibilities

    • Support to committees and their clerks: records, scheduling, reminders, reimbursement assistance, and other administrative support across the Meeting’s committees.
    • Support to the presiding clerks: administrative support for Meeting for Business and Meeting-wide communications.
    • Finance and records: donation entry, fundraising-mailing support, paper bill processing, committee transaction routing, and maintenance of the Meeting’s databases and records.
    • Communications and publications: First Day announcements, email lists, website, and social media.
    • Worship and meeting support: logistics and Zoom coordination for hybrid Meeting for Worship and other gatherings.
    • Welcome and outreach: hospitality and follow-up for visitors, newcomers, and the wider community.
    • Office management: day-to-day operation of the office, and coordination of volunteer administrative staff.
    • Personnel: maintains systems for onboarding, benefits, and records retention
    • Benefits Administration: Administers the benefits for FMW personnel, including running the annual benefits open season and managing benefits for new employees.

    Organizational Details

    • Reports to: the Personnel Committee, on behalf of the Committee of Clerks.
    • Works closely with: committee clerks, the presiding clerks, and other FMW staff.
    • Schedule: part-time, averaging 25-30 hours per week.
    • Compensation: $30-35/hr based on experience
    • Benefits: This position is benefits-eligible, including employer-subsidized health insurance, a 403(b) retirement match, paid leave, and holidays; full terms are set by the Personnel Committee and described in the offer of employment.
    • Location: on-site at the Meeting House in Washington, D.C.

    Familiarity with Quaker practice is helpful in navigating organizational structures and responding to questions, but membership in the Religious Society of Friends and attendance at worship are not required for this position. Full responsibilities are detailed here.
