    ABOUT THE ROLE:

    The Community Operations Coordinator is a key operational support role responsible for overseeing food distribution logistics, kitchen coordination, inventory organization, and daily operational support at USES. This position plays an essential role in ensuring food service operations run efficiently, safely, and in compliance with organizational and sanitation standards.

    The Community Operations Coordinator supports daily program operations through inventory management, meal service coordination, vendor communication, facility upkeep, and logistical support across the organization. This role also assists with operational workflows, event support, and maintaining organized systems that contribute to a safe, welcoming, and efficient environment for families, children, staff, and visitors.

    This position requires strong organizational skills, reliability, attention to detail, and the ability to manage hands-on operational responsibilities in a fast-paced environment.

    This position reports directly to the Business Office & Operations Manager and works closely with the Operations team, Program staff, and food vendors. The work schedule for this role is 40 hours per week, 8:00am – 5:00 pm M-F. Occasional evening or weekend hours may be required to support organizational events or operational needs.

    This role is 100% in person at 48 Rutland Street, Boston MA. The role involves a combination of kitchen operations, food distribution coordination, facility support, and administrative operational tasks within a fast-paced community-based program environment.

    WHAT YOU WILL DO:

    • Food Distribution & Kitchen Operations
      • Serve as a certified meal count monitor and maintain accurate meal service records
      • Prepare, post, and maintain monthly menus and food service documentation
      • Coordinate with catering vendors and food service providers regarding deliveries, schedules, and operational needs
      • Assist with food pickups, transportation coordination, and supply distribution as needed
      • Maintain cleanliness and sanitation of kitchen areas, storage rooms, refrigerators, and operational spaces
      • Monitor kitchen and supply needs and communicate operational concerns proactively
      • Remove trash, cardboard, and operational waste to maintain organized and safe facilities
    • Operational Logistics & Administrative Support
      • Provide front desk coverage as needed
      • Support daily operational workflows and provide logistical coordination across programs
      • Assist with maintaining organized operational systems, supplies, and program materials
      • Help coordinate room setups, materials, and operational preparation for meetings and events
      • Support event setup, breakdown, and on-site logistical coordination
      • Assist staff and leadership teams with operational and administrative needs as required
      • Maintain organized documentation, inventory logs, and operational records
      • Support communication and coordination between staff, vendors, families, and leadership teams
      • Contribute to maintaining a professional, welcoming, and well-organized environment throughout the building
    • Facility & Program Support
      • Assist in maintaining safe, clean, and organized shared spaces throughout the facility
      • Monitor operational supply levels and communicate restocking needs proactively
      • Support building-wide operational tasks and daily facility coordination as needed
      • Provide flexible support during high-volume operational periods and program activities
      • Collect invoices for weekly payments
      • Maintain vendor relationships
      • Scanning checks and coding deposits
    • Cross-Functional Support & Operational Coverage
      • Maintain a working knowledge of administrative workflows to ensure continuity of services across the Operations Department.
      • Serve as backup for essential administrative functions during planned and unplanned absences of the Program Administration Coordinator, including front desk coverage, enrollment support, attendance tracking, participant documentation, family communication, Salesforce and Brightwheel data entry, and administrative workflow coordination.
      • Collaborate with the Program Administration Coordinator to prioritize departmental responsibilities and ensure uninterrupted operations during staffing transitions or periods of increased workload.
      • Demonstrate flexibility by performing responsibilities outside the primary scope of the position when necessary to support departmental and organizational objectives.
      • Support special projects and additional responsibilities assigned by the Business & Operations Manager.

    • Prior experience in food service operations, logistics, facilities, or program support preferred
    • Willing to get Serve Safe Certified

    PHYSICAL REQUIREMENTS (with or without accommodation)

    • Ability to stand and move throughout the building for extended periods
    • Ability to lift and transport up to 30 pounds
    • Ability to assist with deliveries, storage organization, and event setup activities

    COMPENSATION + BENEFITS:

    USES offers its staff a robust compensation and benefits package including access to high-quality health, dental and vision benefits, a 403B plan and generous paid time off. The pay range for this role is $22 - $26 per hour, depending on experience.
