    The Henry L. Stimson Center (Stimson), a nonpartisan global security think tank located in Washington, DC, seeks a Program Assistant reporting to the Senior Fellow & Director, Protecting Civilians and Human Security Program.     About the Program and Position Summary

    The Program Assistant will advance programmatic objectives by providing administrative, logistical, budgetary, and project management support to Stimson's programs, initially supporting the work of the Protecting Civilians and Human Security program. The Program Assistant will provide logistics and operational support for events, travel, funder reporting and communications, and operations. The successful candidate will have some prior educational and/or professional experience in project management, administrative support, and event coordination.

    Responsibilities:

    • Assist with program operational functions, including maintaining the program calendar, scheduling virtual and in-person meetings, tracking publication deliverable and grant reporting due dates, engage with external and internal stakeholders, and manage corporate resources.
    • Coordinate program event logistics, including reserving and preparing event spaces, developing invitations and monitoring RSVPs, managing event logistics and catering, and serving as the main point-of-contact for attendees and participants;
    • Provide travel facilitation support to program staff and external partners for domestic and international dialogues, support travel planning and bookings, as well as relevant authorizations for both funders and Stimson requirements and expense reconciliation;
    • Support program outreach and contact management efforts, including consolidating and maintaining contact databases, and communication campaigns.
    • Other duties as assigned.

    Qualifications – required:

    • Ability to work independently and to collaborate with peers in a team environment;
    • Strong organizational and communication skills, flexibility, and the ability to manage multiple deadlines;
    • Experience with international event planning and administrative support functions;
    • Diplomatic skills and cultural sensitivity; willingness to work with global stakeholders, occasionally during non-standard hours;
    • Creative problem solving and collaborative approaches to burden-sharing.

    Qualifications – preferred:

    • B.A. in Political Science, International Relations, Business Administration or a related field;
    • Experience serving in an administrative role including as an Executive or Administrative Assistant;
    • Knowledge of customer relationship management (CRM) platforms including Salesforce and Accounts Payable software Anybill;
    • Familiarity with social-media platforms, analytics, and effective promotion strategies; experience developing social media awareness, promotional campaigns, and calendars;
    • Experience with SharePoint, Microsoft Office, Google Suite, and other workplace tools that support team organization and promote hybrid collaboration and teamwork;
    • Familiarity with budgeting and finance tracking for projects, including various accounting requirements;
    • Experience with international travel research, trip planning and logistics, visa and entry requirements, and travel reimbursements.
