    Responsibilities:

    • Development Operations, Relations & Data Management (65%)
      • Administer and manage Salesforce, including gift entry, pledge tracking, gift acknowledgment production, duplicate resolution, and regular reconciliation with Finance and the Vice President of Development.
      • Develop and maintain a database of current and prospective institutional funders, individuals, and government entities.
      • Maintain and enhance standard operating procedures to ensure data accuracy and regulatory compliance, and train staff on best practices for utilizing the CRM system.
      • Develop and distribute revenue forecasts, KPI dashboards, and board-level reports; proactively advise the Vice President of Development on risks and opportunities.
      • Track and process critical donor and gift data from third-party platforms (e.g., Fidelity Charitable, Benevity, BoA) to ensure accurate donor information, reporting, and stewardship.
      • Research potential donors, foundations, and other development opportunities to explore.
      • Lead point of contact with external consultants such as Idlewild to assist with Salesforce.
      • Maintain and update online profiles annually, including those on Charity Navigator and Guidestar.
      • Maintain physical and electronic donor communication materials, as well as the inventory of general development team supplies.
      • Manage the strategy and implementation of external campaigns, including Giving Tuesday, Winter Walk, and other peer-to-peer fundraising opportunities.
      • Assist with the creation of a comprehensive stewardship program that appropriately and consistently promotes interaction with and recognition of donors giving at all levels of the organization.
      • Manage and maintain Breaktime’s new donor and recurring gift programs to ensure accuracy, stewardship, and retention.
      • Answer general development phone and email inquiries.
    • Event Strategy & Execution (30%)
      • Plan and execute all donor-facing events (e.g., annual gala, Giving Tuesday, cultivation tours, and intimate major donor gatherings).
      • Create comprehensive project plans, timelines, budgets, and run-of-show documents; negotiate and manage venue and vendor contracts.
      • Serve as on-site lead to ensure seamless logistics, superior guest experience, accurate data capture, and effective volunteer coordination.
    • Departmental Project & Calendar Management (5%)
      • Maintain the master Development calendar, inclusive of grant/report deadlines, event milestones, and pledge-reminder schedules; issue weekly meeting briefings.
      • Evaluate and implement technology solutions (e.g., project-management platforms, event software) that improve departmental efficiency and data accuracy.
      • Interface with the Marketing and Communications team to ensure Breaktime’s agency website and social media platforms are capable of accepting donations.
      • Coordinate with vendors to ensure needs are met and contracts are fulfilled.
    • Cross-Functional Collaboration (Ongoing)
      • Liaise with Finance (reconciliations), Communications (event collateral, digital promotion), and Programs (impact metrics) to ensure aligned messaging and donor stewardship.
      • Provide data and logistical support to the Development team members.

    Reports to: VP of Development

    Supervises: Up to three interns/volunteers

    Working Conditions: The position requires the ability to lift up to 25 lbs and remain on one’s feet for extended periods during events. Travel within the Greater Boston area for site visits and vendor meetings. Ability to attend occasional evening networking events and weekend volunteer days.

    Requirements

    Education & Experience

    • Bachelor’s degree and 4 years of progressively responsible, full-time work in nonprofit development operations, CRM administration, and event management.
    • or 6 years of experience in lieu of a degree.

    Technical Proficiency

    • Advanced use of Salesforce CRM system, reporting, and data analysis (or a comparable fundraising CRM)
    • High proficiency with Google Workspace (Sheets, Docs, Slides, Drive) for analytics, reporting, and shared document management.
    • Demonstrated skill using Trello (or similar project-management software) to build timelines, assign tasks, and monitor deliverables.
    • Fluency with Slack for real-time team communication and cross-department coordination.
    • Aptitude for quickly mastering new digital platforms (e.g., virtual event and marketing automation tools).

    Core Competencies

    • Exceptional organizational, analytical, and written/verbal communication skills.
    • Proven ability to design and execute large-scale fundraising events (250 + guests) and smaller stewardship engagements, delivered on schedule and within budget.
    • Strong vendor negotiation and project-management capabilities; adept at juggling multiple, time-sensitive priorities with meticulous attention to detail.
    • Experience and comfort with technology including online donation platforms.
    • Relationship-driven, joyful, and passionate about working with staff and young people.
    • Ability to build relationships with all levels of management, volunteers, and donors in a professional manner.
    • High ethical standards, discretion, and confidentiality in working with donor information.
    • Self-starter who is able to work both independently and in a collaborative environment.
