    Descripción

    The New York Philharmonic connects with millions of music lovers each season through live concerts in New York and around the world, as well as broadcasts, recordings, and education programs. After returning to a transformed David Geffen Hall in 2022, the Orchestra is acting on a renewed commitment to building on a legacy of more than 180 years, serving as a platform for today’s greatest musical artists and connecting with our communities. Gustavo Dudamel will become the Philharmonic’s Oscar L. Tang and H.M. Agnes Hsu-Tang Music and Artistic Director in the 2026–27 season.

    The New York Philharmonic seeks a Special Events Associate, who will join the collaborative and dynamic Special Events team and play a supportive role in their efforts to achieve the Orchestra’s mission through various fundraising events during the concert season. The Associate will participate in the planning and execution of five pillar events (Opening Gala, Young New Yorkers Winter Fête, Lunar New Year Gala, Fun at the Phil family benefit, and Spring Gala) and other cultivation events. This team member will provide important administrative, logistical, and clerical/general assistance to their Special Events colleagues.

    Responsibilities:

    • Track fundraising progress for all pillar events: process monetary donations; draft invoices and record gifts and pledges; and prepare acknowledgement letters and financial reports in a timely manner.
    • Assist with numerous cultivation events throughout the concert season by managing lists, drafting event collateral (i.e. invitations, programs, place cards, etc.), tracking responses and following up with donors as needed, liaising with vendors and NY Phil colleagues, and developing event timelines and production schedules.
    • Support the Director, Associate Director, and the Manager with the strategic seating process for all events by managing guest lists in the seating database (Social Tables) and with the maintenance of the department’s financial donor database, leadership mailing lists, and the execution of all event solicitations (i.e. physical mailings and e-mail blasts).
    • Train and monitor volunteers and other event participants and provide other onsite registration support.
    • Participate in Patron Lounge duty during the concert season to facilitate guest tracking and ensure a positive guest experience.
    • Perform general administrative duties for the Special Events team, including updating budgets, submitting vendor invoices for payment, and managing the Special Events calendar and supplies inventory.
    • A commitment to contributing to an inclusive working environment is required.
    • Miscellaneous duties as assigned.

    Requirements:

    • Bachelor’s degree
    • One year of professional and/or administrative experience preferably in development/fundraising or event support
    • Excellent written and verbal communication skills with strong attention to detail
    • Ability to multi-task, prioritize, and problem-solve to meet deadlines in a fast-paced work environment
    • Proficiency in Microsoft Office Suite (i.e. Word, Excel, PowerPoint, etc.) and experience with at least one donor database (Tessitura preferred)
    • Understanding of physical mass mailings and electronic Word mail merges
    • Capacity to work well in teams and collaborate across internal departments/teams
    • Should be available to work evenings and weekends
