    Position Overview:

    QCH receives a majority of its funding from city and state government agencies and places a high priority on maintaining compliance with all regulatory requirements. As a Contracts Management Associate (CMA), you will play a key role in ensuring that our government contracts move efficiently through the approval process while maintaining compliance standards. You’ll collaborate closely with QCH leadership, program staff, operations teams, external consultants, and funder representatives.

    This hybrid role reports to the Contracts Manager and offers opportunities for professional development and growth within the organization.

    Key Responsibilities:

    Contract Management

    • Oversee and coordinate the registration and ongoing management of funding contracts.
    • Collect and submit necessary documentation from internal and external stakeholders.
    • Manage data entry and workflows in government contracting portals (e.g., PASSPort, SFS, CMS).
    • Track contract deadlines and milestones using project management tools, and communicate updates with relevant teams.

    Compliance

    • Support the Contracts Manager and leadership with compliance-related tasks.
    • Respond to documentation and information requests from auditors and funders.

    Administrative Support

    • Maintain organized electronic and physical filing systems in alignment with QCH’s Document Retention Policy.
    • Implement new systems for document tracking and retrieval, as needed.
    • Provide administrative support on additional projects as assigned.

    Qualifications:

    Required:

    • Minimum of 2 years of relevant work experience.
    • Strong proficiency in Microsoft Office 365, particularly Excel.
    • Exceptional attention to detail and organizational skills.
    • Excellent time management and project coordination abilities.
    • Strong interpersonal and communication skills; ability to collaborate with a range of stakeholders.

    Preferred:

    • Bachelor’s Degree.
    • Previous experience in the nonprofit sector.
    • Familiarity with government contracting platforms such as PASSPort, SFS, and CMS.
    • Ability to handle sensitive and confidential information with discretion.
    • Comfort working with and interpreting budgets.
