    Position Summary

    The Senior Accounting Manager ensures the smooth operation of OIC of America’s day-to-day accounting functions, including accounts payable and receivable, general ledger maintenance, monthly closes, and STN partner invoicing and audit management. Reporting to the Director of Finance, this role also contributes to grant compliance, audit preparation, and internal control processes.

    The ideal candidate is a highly organized, detail-oriented, and systems-savvy accounting professional with nonprofit experience and a passion for supporting mission-driven financial stewardship. This person will ensure accurate financial records, timely payment processing, and the integrity of partner invoicing systems as OIC of America scales its impact.

    Accounting Operations & Compliance

    • Perform and oversee daily accounting functions, including accounts payable (AP), accounts receivable (AR), and bank reconciliations.
    • Manage the monthly close process in collaboration with the Director of Finance.
    • Maintain the general ledger, ensuring timely and accurate recording of financial transactions.
    • Prepare and post journal entries, accruals, and adjustments.
    • Support the preparation of monthly, quarterly, and year-end financial statements in accordance with GAAP.
    • Ensure all transactions are properly documented and coded to the correct funding source and chart of accounts.

    Invoicing & Partner Financial Administration

    • Lead the invoicing process for all STN (Sullivan Training Network) partners, ensuring accuracy, timeliness, and compliance with contract terms.
    • Coordinate with the PM, STN to align invoicing schedules with partner deliverables.
    • Track outstanding balances and follow up on collections as necessary.
    • Reconcile incoming payments from drawdowns, corporations and other funders.

    Accounts Payable & Receivable (AP/AR)

    • Oversee all outgoing payments, including vendors, consultants, contractors, and partners.
    • Process and track incoming revenue and grant disbursements.
    • Maintain vendor files and ensure W-9s and 1099 reporting requirements are met.
    • Monitor and maintain the cash disbursement schedule, flagging issues for resolution.
    • Implement payment approval workflows and internal controls per financial policies.

    Budget & Grant Support

    • Assist with budget tracking and variance analysis by providing timely reports and expenditure updates to the Director of Finance.
    • Support grant and contract reporting by preparing and maintaining documentation of expenditures tied to restricted funding.
    • Work with program and development teams to ensure expenses align with funder budgets.

    Internal Controls, Systems & Audit Support

    • Ensure proper documentation and approval processes for all financial transactions.
    • Contribute to the maintenance of strong internal controls and compliance with regulatory and audit standards.
    • Support the annual audit by preparing schedules, reconciliations, and responding to audit inquiries.
    • Assist in documenting finance SOPs and systems improvements.

    Qualifications

    • Minimum 6 years of accounting experience, preferably in a nonprofit or grant-funded environment.
    • Strong understanding of GAAP, nonprofit fund accounting, and grant compliance.
    • Experience managing AP, AR, general ledger, and monthly close processes.
    • Prior experience with partner invoicing or subrecipient financial management strongly preferred.
    • Demonstrated ability of transactional accuracy.
    • Experience with process improvement/streamlining.
    • Strong verbal and written communication skills for internal and external stakeholders.
    • Demonstrated ability to manage competing priorities and meet deadlines.
    • Proficiency in FundEZ, Microsoft Excel, and accounting systems; experience with bill.com or similar AP platforms a plus.
    • Excellent organizational, time management, and attention to detail skills.
    • Ability to work independently and collaboratively with a growing, mission-focused team.
    • Bachelor’s degree in accounting, finance, or related field required

    Compensation:

    The salary range for this position is$85,000- $90,000 based on a 37.5-hour work week for this exempt position. Salary offered may vary depending on relevant factors as determined by OIC of America, which may include, but are not limited to, background and experience, knowledge, skills and abilities, certifications and licensures internal salary ranges, geographic location and other organizational needs.

    • Ability to communicate information and ideas so others will understand.
    • Ability to learn/translate/refer to technical material and produce extensive written communications.
    • Ability to travel to external meetings both locally and nationally, including periodic overnight travel.
    • Normal work requires frequent use of the telephone and computer (monitor, keyboard, mouse).
    • Ability to be mobile at meetings and events.
    • May be required to move about frequently in the office to access file cabinets, office equipment, attend meetings, etc.
    • May require standing/sitting for prolonged periods of time during meetings and conferences.
    • Must be able to communicate in large gatherings and conduct information sessions with technology so others will understand.
