    Position Summary

    The HR and Finance Associate supports key administrative processes across the human resources and finance departments, including onboarding/offboarding, recruitment coordination, labor relations, employee recordkeeping, and financial data entry. This role ensures a smooth experience for new hires and candidates; maintains HR systems and calendars; assists with invoice processing, deposits, and journal entries; and provides general support for cross-departmental projects. The position reports to the Director, Human Resources.

    The position is full-time, exempt and is based in Washington, DC, with the option to work from home up to four days per week.

    Essential Duties & Responsibilities

    • Onboarding & Offboarding
      • Coordinate onboarding and offboarding processes, including background checks, offer letters, new hire paperwork, benefits enrollment, and exit procedures.
      • Liaise with hiring managers and IT to ensure new hires are properly set up.
      • Maintain up-to-date onboarding and offboarding checklists and documentation.
      • Recruitment Coordination
      • Post job openings on internal and external job boards.
      • Schedule interviews and reference checks.
      • Coordinate logistics with candidates and hiring managers.
      • Ensure a smooth and professional candidate experience from application through hire.
    • HR Administration & Systems
      • Maintain accurate employee records in BambooHR and other systems as needed.
      • File and organize personnel documentation securely.
      • Schedule internal trainings and maintain the organizational training calendar.
      • Maintain the HR calendar and track key HR events and deadlines.
      • Maintain compliance by monitoring and updating mandatory workplace labor law posters.
      • Monitor and manage the HR inbox, ensuring timely responses and appropriate follow-up to inquiries.
      • Compile and distribute regular HR communications to keep employees informed about policies, resources, and organizational updates.
      • Support the Human Resources Director and Chief Operating Officer in responding to data and information requests from AU’s employee union, taking notes during grievance and other meetings with the union, and ensuring all HR processes align with the guidelines outlined in the Collective Bargaining Agreement (CBA).
      • Assist with special projects across HR and Finance, including process improvements, system updates, calendar planning, and policy implementation, while keeping things on track and ensuring clear communication with all stakeholders.
    • Finance
      • Prepare in-house deposit details for entry into accounting software.
      • Process check deposits using bank-supplied scanner; conduct bank branch deposits as necessary.
      • Record bounced check and chargebacks details in donor and accounting databases.
      • Verify invoices for accuracy and enter into accounting software; confirm invoices are congruent with existing contracts and contain proper approval.
      • Work with cardholders to accurately record charges and provide accurate documentation.
      • Record journal entries on standard monthly processes.
      • Other duties as assigned.

    • A bachelor’s degree or equivalent experience
    • Minimum of 2 years of relevant experience in HR, operations, finance support, or a related field
    • Strong organizational skills with the ability to manage multiple priorities and meet deadlines
    • Strong written and verbal communication skills, with a professional and approachable tone
    • Familiarity with HR systems (e.g., BambooHR or similar)
    • Ability to work collaboratively with colleagues across teams
    • High level of attention to detail and commitment to accuracy
    • Ability to handle sensitive and confidential information with discretion
    • Experience coordinating meetings, trainings, or events
    • Proficiency in Microsoft Office Suite
    • Working Conditions & Physical Requirements
    • This is a hybrid position that primarily involves working from a home office and a professional office environment. The role routinely uses standard office equipment such as computers, phones, and video conferencing tools. It requires the ability to remain in a stationary position for extended periods, communicate effectively, and occasionally move about within the workspace.

    Compensation and Benefits 

    The salary range for this position is $65,870-$82,340. This stated range includes a 5% locality pay adjustment for the Washington, DC metropolitan area. The successful candidate’s placement within that range will be consistent with AU’s compensation framework, which is based on role placement and years of related experience.
