The Immigrant Alliance for Justice and Equity a nonprofit organization formed in 2019 to educate, empower, and organize immigrant communities in Mississippi. Job Title and Description:
IAJE is hiring an Office Coordinator to perform a variety of administrative tasks while supporting IAJE personnel and maintaining the process of order in CIIJ. The coordinator’s responsibilities include managing calendars, making travel arrangements, corresponding with stakeholders and registering staff for work excursions. The right person for this job will be comfortable working with immigrant, Indigenous, and low-wage workers. To be successful in this role, you should be well-organized, have great time management skills, take initiative, and be effective in a fast-paced work environment.
Essential Responsibilities:
- Act as the point of contact among executives, employees, clients, and other external partners
- Manage calendars and set up meetings
- Log office inventory
- Format information for internal and external communication – memos, emails, presentations, reports
- Take minutes during meetings
- Screen and direct phone calls and distribute correspondence
- Organize and maintain the office filing system
- Answering and directing phone calls, responding to emails, and taking messages
- Manage information flow in a timely and accurate manner
- Maintain confidential office files/records
- Greeting visitors and direct them to the appropriate departments or individuals
- Screen and direct phone calls and distribute correspondence
- Manage organizational calendar and set up conference room meetings
- Prepare and mail outgoing correspondence, checking mailbox daily
- Sending reminder memos for office safety and housekeeping
- Act as an office manager by keeping up with office supply inventory
- Maintaining filing systems, databases, and contact information, and organizing documents and files
Organization-wide responsibilities:
- Format organizational whiteboards and add updates weekly.
- Rotating meeting facilitation and note taking.
- Make and confirm travel arrangements.
- Provide support and participation for organization-wide and regional campaigns and events.
- Act as timekeeper during meetings.
- Accept orders at the office and order new office supplies upon approval by the Executive Director.
- Manage the center space, schedule cleaning, schedule meetings accordingly between staff and external contacts.
- Other duties as assigned.
Essential Qualifications:
- Bilingual with Spanish and English
- Strong commitment to social justice, racial justice, and immigrant empowerment.
- Sensitive and compassionate to the needs of immigrant and Indigenous communities and their experiences
- Shares IAJE’s ideals, strategies, and beliefs in achieving racial justice, liberation, and building self-sustainable communities by immigrant and indigenous Mississippians
- Strong desire in achieving racial justice, liberation of and for immigrant and indigenous communities.
- Strong interpersonal and team‐building skills.
- Comfortable and respectful in working alongside and following the leadership of immigrant and Indigenous communities.
- Champion the rights of the working class of all immigrants and indigenous people.
- Ability to energize, inspire, and move people to action.
- Strong, engaging facilitation skills with community leaders that inspires and is interactive.
- Excellent ability to track, record and maintain data.
- Computer proficiency
- Excellent attention to detail and follow‐through.
- Ability to prioritize and balance multiple tasks and projects.
- Excellent communication skills, both written and oral.
- Proficiency in Google Suite
- Mississippi driver’s license, insurance, and regular access to a reliable vehicle.
Preferred Qualifications:
- Bachelor's Degree or equivalent work experience
- Experience with one or more of the following areas: public health, campaign strategy, curriculum development, alliance building, media outreach, grassroots fundraising, and policy.
- Experience in and/or knowledge of the culture and history of organizing and advocacy in Mississippi or the Southeast.
Work Environment
The position will be located in IAJE’s Jackson office. Our offices are shared among several employees.
Compensation:
$41,000 - $44,000/year salary
