We are seeking a bilingual, detail-oriented and proactive Staff Accountant & General Business Manager to oversee and manage the day-to-day financial operations and business administration of our foundation. This is a leadership role working closely with the Executive Director, Finance and Program Teams to ensure transparent, efficient, and compliant financial practices.
Key Responsibilities
Accounting & Financial Management (60%)
- Full-cycle bookkeeping including journal entries, monthly reconciliations, and year-end closings
- Manage accounts payable (AP) and accounts receivable (AR) in both USD and CRC • Prepare monthly financial statements, cash flow reports, and budget tracking

- Oversee payroll processing in compliance with Costa Rican labor law (CCSS, INS, aguinaldo, vacaciones, etc.)
- Coordinate with external accountants for tax filings and annual audits
- Ensure compliance with Costa Rican foundation and nonprofit financial regulations
- Manage vendor payments, invoicing, and student/family billing
Operations & Administration (40%)
- Manage general office administration, facilities oversight, and procurement
- Support contract administration for local staff, freelance instructors, and program vendors
- Ensure business licenses, permits, and insurance are up to date
- Oversee internal HR processes, employee onboarding/offboarding, and labor documentation • Liaise with banking institutions, government offices, and external partners
Qualifications
Required
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field
- Minimum 3–5 years of professional experience in accounting or nonprofit financial management
- Proficient in Costa Rican accounting standards, labor laws, and payroll regulations
- Experience with QuickBooks, Excel, and digital payroll systems (e.g., Softland, Exactus, etc.)
- Fluent in Spanish and English, both written and spoken
- Strong organizational skills and attention to detail
- Legally authorized to work in Costa Rica
Preferred
- Prior experience working for a nonprofit, foundation, or international education provider • Familiarity with U.S. financial terminology and grant reporting standards
- Experience managing small business operations or school administration
