Job Description
We are seeking a part-time Bookkeeper who will report to the Senior Minister. The Bookkeeper will work most closely with UUCWC’s Treasurer and Church Administrator, and will support the work of the Finance, Endowment, Fundraising, and Stewardship Committees.
The position is expected to average 60 hours per month (720 hours per year). The average number of hours per week (approx. 14 hours per week) will vary as the first part of each month may require more time, while mid-month hours may be somewhat less. The hours per month will also vary as some activities are performed on a quarterly, annual, or as-needed basis.
This is a mostly remote position.
Responsibilities Include:
Daily /Weekly/Semi-Monthly: Cash Management – QuickBooks Online and Realm Management Software
- Payment of all approved invoices
- Coordinate weekly bank deposits (deposits made by Assistant Treasurer)
- Perform QuickBooks data entry including:
- Deposits into all accounts, documented with Realm deposit and other account details
- Direct deposits made to cash account
- Payments made by online debits, including payroll and utilities
- Perform Realm data entry to record annual pledges and donations received; contact donors as needed to ascertain purpose of donation
- Answer questions and respond to financial information requests from UUCWC staff, Treasurer, Finance Committee, Board of Trustees, and Committees/Ministries
- Answer questions from congregants about annual pledges and donations
- Inform Church Administrator / Office Assistant of new donors and coordinate records management in Realm
Monthly and Quarterly
- Monthly Account Reconciliations: Cash account(s), PayPal, Venmo, Brokerage, UU Common Endowment Fund. Reconcile donations recorded in QuickBooks and in Realm.
- Make monthly adjusting entries in QuickBooks
- Transfer funds as requested by Treasurer
- Prepare income statement, balance sheet, and cash report for Finance Committee and Board of Trustees for their monthly meetings; review with Treasurer
- Prepare monthly reports for Committees/Ministries as needed, in particular the Council for Faith in Action
- Quarterly review of payroll company tax reports for accuracy and reconciliation to QuickBooks reporting
- Prepare and forward quarterly pledge statements via Realm
Annual: End of Calendar Year
- Coordinate with Treasurer, Finance Chair and Church Administrator to provide financial information as needed
- Prepare annual giving statements for donors through Realm
- Submit healthcare split form to Unitarian Universalist Association (UUA) if needed
- Prepare IRS Form 1099 for contractors
Annual: End of Fiscal Year
- Coordinate with Treasurer, Finance Chair and Church Administrator to provide financial information as needed
- Enter budget approved by the congregation into QuickBooks in preparation for new fiscal year
- Make year-end journal entries as needed
- Personnel duties including updating pay rates in ADP and submitting change forms for UUA insurance and retirement plans
- Ensure President and Treasurer update authorized account signers with bank and order new signature stamps if needed
- Prepare annual workers comp audit for insurance company
Personnel
- Coordinate onboarding of new employees with Church Administrator re obtaining employee information / forms, benefits, payroll, etc.
- Manage payroll functions: collect timesheets, submit semi-monthly payroll and retirement account contributions
- Administer employee benefit, retirement and group insurance programs, including enrollments, regular contributions, and waivers, in coordination with Church Administrator.
- Assist in onboarding new Treasurer and Finance Chair as requested; familiarize Church Administrator with financial procedures as needed / requested.
Qualifications
- Relevant training and/or experience
- Proficiency with QuickBooks online
- Ability to work independently
- Commitment to accuracy and confidentiality
- Commitment to positive interpersonal relationships and teamwork with church staff, volunteers and members
- Prior experience working with a religious institution or nonprofit a plus

Specialist Level: $18,000-$21,000 annually

Work Setting and Schedule
Mostly remote. The Bookkeeper will specify a schedule of work times when they will check and respond to emails.
